About The Position

We are looking for a bilingual (Portuguese and English) Speaker Coordinator to support MRC’s upcoming São Paulo event. This is a temporary, part-time position focused on speaker coordination and event execution. The Speaker Coordinator will handle assigned speaker logistics and communications to support a smooth and successful event experience for both speakers and internal teams. This role is limited in scope and duration and is tied specifically to the planning, delivery, and immediate post-event wrap-up of the São Paulo event. The ideal candidate is fluent in both Portuguese and English, with strong communication skills, excellent attention to detail, and experience supporting live and virtual events.

Requirements

  • Bachelor’s degree in a related field or equivalent experience.
  • Fluency in Portuguese and English required.
  • Experience supporting live or virtual events, preferably with speaker coordination.
  • Strong organizational skills and attention to detail.
  • Clear written and verbal communication skills.
  • Comfort with virtual event platforms and basic technical troubleshooting.
  • Ability to work independently within defined timelines and project scope.
  • Ability to support limited travel if required for the São Paulo event.

Responsibilities

  • Support outreach to confirmed and prospective speakers for the São Paulo event, ensuring alignment with session requirements and timelines.
  • Maintain clear and timely communication with speakers in both English and Portuguese (Spanish a plus), sharing event details, expectations, and preparation guidance.
  • Coordinate with internal content managers and sponsors to support speaker selection and session alignment.
  • Facilitate introductions between panelists and moderators and share preparation materials as needed.
  • Manage speaker communications via email and messaging platforms such as WhatsApp, when appropriate.
  • Coordinate travel, accommodation, and transportation logistics for São Paulo event speakers, as needed.
  • Support virtual speaker access to event platforms, including basic troubleshooting and rehearsal scheduling.
  • Schedule and support prep calls and recording sessions based on speaker availability.
  • Ensure speakers are prepared and informed of AV and session requirements prior to the event.
  • Track speaker registrations and access to event platforms.
  • Collect speaker bios, session descriptions, and presentation materials for event and promotional use.
  • Support translation and formatting of materials as needed for event platforms and communications.
  • Review presentation decks for alignment with event guidelines and escalate issues as needed.
  • Support session recording preparation and post-event organization of materials.
  • Serve as a point of contact for speakers during the São Paulo event for check-ins, rehearsals, and session coordination.
  • Support stage and session transitions in coordination with AV and production teams.
  • Monitor sessions for timing and technical issues and escalate as needed.
  • Support collection of speaker feedback related to the São Paulo event.
  • Participate in post-event debrief discussions to share observations and support immediate follow-up actions related to this event.
