About The Position

The Spa at Willows Lodge Position Overview The Spa Coordinator is the heartbeat of our front desk and guest experience. This role supports daily spa operations by welcoming guests, managing appointments, assisting therapists, and maintaining a clean, organized, and calm spa environment. We are looking for a reliable, professional, and service-driven individual who thrives in a fast-paced luxury spa setting.

Requirements

  • Previous spa, hotel, or customer service experience preferred
  • Knowledge of skincare and spa treatments is a strong plus
  • Strong communication and multitasking skills
  • Professional appearance and positive attitude
  • Ability to stay calm and organized in a busy environment
  • Team player willing to step in where needed
  • Comfortable standing for long periods and performing light cleaning/lifting
  • Must be available to work nights, weekends, and holidays as required
  • Part-time and/or full-time availability considered based on business needs
  • Someone with an engaging and welcoming personality
  • Someone with a strong attention to detail
  • Someone who can work under pressure in a fast-paced environment
  • Someone with a passion for creating an exceptional experience for all guests
  • Someone with excellent communication skills
  • Someone who can frequent bend, push/pull, and lifting/carrying of up to 30 lbs. and occasional lifting/carrying of up to 50 lbs.
  • Someone with a flexible schedule that allows them to work weekends and holidays

Nice To Haves

  • Someone with or the ability to obtain a CPR and First Aide certification preferred

Responsibilities

  • Greet guests warmly and professionally; check guests in and out of spa services
  • Answer phones, respond to guest inquiries, and book spa appointments accurately
  • Maintain knowledge of spa services, treatments, memberships, and retail offerings
  • Provide exceptional guest service before, during, and after treatments
  • Assist therapists with odds and ends as needed to support smooth service flow
  • Maintain front desk organization, including daily paperwork and schedules
  • Support retail sales and recommend skincare products when appropriate
  • Clean and restock locker rooms throughout the day to spa standards
  • Drop off and manage laundry as needed
  • Ensure spa policies and procedures are followed
  • Communicate clearly with therapists and leadership regarding guest needs and schedule changes
  • Assist with opening and closing duties of the spa
