About The Position

Our Spa Coordinators play a vital leadership role in ensuring the spa operates seamlessly and in alignment with Woodhouse standards. This position oversees daily spa operations, supports the hospitality team, and ensures consistent execution of service, safety, and brand expectations. Working in partnership with ownership and leadership, the Spa Coordinator contributes to strategic planning, team development, and operational excellence through hands-on support and real-time coaching and feedback.

Requirements

  • Minimum 5 years spa experience, minimum 5 years of management experience required.
  • Desired skills include leadership, flexibility, retailing, training, superior communication, sales, administration, advanced computer skills and organizational skills.
  • Must be a “team-player” and understand the importance of staff happiness and maintain an atmosphere that makes employees want to come to work.
  • Must be available to work evening and weekend shifts per business needs.

Nice To Haves

  • Experience with Zenoti or Meevo Spa software preferred.

Responsibilities

  • Serve as Manager on Duty with authority over all operational matters while on shift
  • Ensure exceptional guest experiences and resolve concerns in real time
  • Provide guidance and support to staff to maintain operational excellence
  • Communicate daily priorities and expectations
  • Optimize scheduling and maintain quality control standards
  • Receive, verify, and manage spa inventory and supplies
  • Address urgent maintenance issues promptly
  • Provide hands-on training, in-the-moment coaching, and feedback
  • Prepare and deliver daily reports to leadership
  • Manage team schedules and arrange staff coverage as needed
  • Participate in hiring, onboarding, and training new team members
  • Coach and develop team members with 30-, 60-, 90-day check-ins and annual performance reviews
  • Track professional licenses and ensure compliance with state regulations
  • Ensure treatment rooms, protocols, and product usage meet Woodhouse standards
  • Manage equipment maintenance, repairs, and inventory
  • Oversee budgeting for supplies, retail, and operational expenses, and ensure cost-effective practices
  • Uphold guest service and quality control standards daily
  • Ensure the safety of guests and team members in accordance with safety policies
  • Coordinate and prepare for inspections and audits
  • Assist leadership in overall spa management and strategic initiatives
  • Educate guests on spa services and retail products
  • Assist with purchase orders, inventory management, and Zenoti database tracking, including identifying underperforming products
  • Protect and uphold The Woodhouse Brand and all corporate protocol
