This position falls within the Sourcing and Procurement Department of the Real Estate Services Team. The role is responsible for tracking, maintaining, and optimizing medical and non-medical assets across care delivery sites. It supports accounting, procurement, and deployment of new equipment and ensures regulatory and safety compliance within OSHA guidelines. It supports quality audits, continuous improvement initiatives, and vendor performance management. The role works closely with clinical and facilities teams to minimize equipment downtime, ensure equipment availability for patient care, and assist with investigations related to equipment performance or calibration nonconformances. This position is full-time Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 6:30am – 3:30pm MST. It may be necessary, given the business need, to work occasional overtime. We offer 4 weeks of on-the-job training. The hours of the training will be 6:30am – 3:30pm MST. Monday – Friday. Requirements

  • High School Diploma / GED
  • Must be 18 years of age OR older
  • 3+ years Logistic experience, healthcare experience, and / or military experience
  • 1+ years of experience in billing, invoicing, and working directly with vendors
  • 1+ years experience utilizing ServiceNow
  • Intermediate level of proficiency with Excel (pivot tables, formulas)
  • Comfortable with domestic travel up to 10%25

Responsibilities

  • Asset Tracking & Inventory Management
  • Maintain accurate records of all medical and non-medical assets, including acquisition dates, locations, maintenance schedules, and disposal timelines.
  • Use asset management software (Nuvolo) to log and update equipment data.
  • Conduct routine inventory audits to ensure compliance and data accuracy.
  • Maintenance & Lifecycle Management
  • Coordinate preventive maintenance and repairs with clinical engineering, IT, or facilities teams.
  • Track warranty, service contracts, and vendor support for critical assets.
  • Recommend asset replacement or upgrades based on usage data, reliability, and cost-benefit analysis.
  • Procurement & Deployment
  • Collaborate with supply chain and procurement teams to forecast and fulfill asset needs for care delivery sites.
  • Support the setup and deployment of new equipment at clinics or care sites.
  • Ensure assets are compliant with relevant regulatory and safety standards (ie., OSHA).
  • Data Analysis & Reporting
  • Generate reports on asset utilization, downtime, and costs to inform operational decisions.
  • Provide insights to optimize asset allocation across care delivery sites.
  • Assist in budget planning by projecting asset replacement and maintenance costs.
  • Cross-Functional Collaboration
  • Partner with clinical leaders, facilities, IT, and procurement teams to ensure alignment between operational needs and asset management processes.
  • Support onboarding and training of staff on equipment use and tracking protocols.
  • Calibration Program Oversight
  • Develop, implement, and maintain a comprehensive calibration management program for all applicable clinical and support equipment.
  • Maintain calibration schedules to ensure all devices meet manufacturer specifications and regulatory standards.
  • Coordinate calibration activities with external service providers.
  • Equipment Tracking & Documentation
  • Maintain up-to-date calibration records in asset management system (ServiceNow).
  • Ensure traceability of calibration data, certificates, and test results.
  • Prepare and present calibration status reports and audit-ready documentation.
  • Quality & Compliance
  • Support quality audits by providing documentation and technical clarification related to calibration activities.
  • Participate in continuous improvement initiatives to enhance calibration accuracy, turnaround times, and compliance rates.
  • Vendor & Service Management
  • Evaluate and manage calibration service vendors for performance, cost, and compliance.
  • Review vendor calibration certificates to verify accuracy and traceability.
  • Coordinate calibration schedules to minimize clinical downtime and disruption.
  • Collaboration & Support
  • Work closely with clinical teams and facilities to ensure equipment availability for patient care.
  • Support investigations of equipment performance issues or calibration-related nonconformances.
