About The Position

The Department of Sociology is seeking a well-rounded, service-oriented, and tech savvy individual with good communication skills, creativity, and energy to support graduate students as they move through the program. The GPA’s role covers the full life-cycle of the Sociology Graduate Program from recruitment, admissions and onboarding, to matriculation and graduation. Join our high performing team and help us provide excellent support to a diverse group of students, faculty, and staff. The Graduate Program Advisor’s responsibilities include on-going program coordination as well as management of four annual processes. Duties include day-to-day oversight of the administrative aspects of the department’s MA/PhD program. This includes coordinating admission, matriculation and in addition, the GPA serves as the liaison with the Graduate School regarding its rules, regulations, procedures that govern many aspects of the graduate student experience. information as they impact graduate students and the Department’s graduate program, and coordinating and assisting with recruitment, admissions, matriculation, and graduation.

Requirements

  • High school graduation or equivalent and 2 years experience in student services.
  • Bachelors in Education or related field

Responsibilities

  • Help students navigate Graduate School and departmental requirements and procedures
  • Advise students about MA and PhD program requirements
  • Meet regularly (in-person and via Zoom) with students to answer questions and to discuss plans and goals
  • Register students for courses and ensured that they are enrolled full- time
  • Provide administrative support as students establish committees and schedule exams
  • Conduct degree audits to clear students for graduation
  • Monitor degree progress and follow-up with students about incomplete and missing grades
  • Verify and document milestone completion
  • Maintain up-to-date and accurate student records
  • Prepare agenda and minutes for the Graduate Program Committee
  • Attend Graduate School Student Services group meetings
  • Collaborate with representatives of the Sociology Graduate Association (GSA) on special projects
  • Update the graduate program section of the departmental website
  • Order bound copies of all dissertations
  • Support the department with the TA assignment process
  • Coordinate with other departments regarding certification and concentration completion
  • Process students’ applications for research and travel grants
  • Serve as departmental point of contact with the Graduate School concerning UW awards
  • Oversee new student entry in all UW systems
  • Facilitate enrollment in TA preparation courses
  • Ensure all incoming students have met the requirements to serve at TAs
  • Connect new students to relevant UW departments
  • Plan departmental orientation for incoming students
  • Serve as first contact for prospective students
  • Explain English language proficiency requirements to non-native English-speaking applicants
  • Connect applicants to faculty members when appropriate
  • Coordinate admissions committee meetings and the review process
  • Prepare applicant files for admissions committee
  • Plan and manage recruitment weekend event
  • Send regular updates to admitted students
  • Monitor admission decisions
  • Send timely and accurate offer letters under the supervision of the Graduate Program Coordinator
  • Oversee the Graduate student annual review process
  • Prepare annual review and funding materials
  • Provide support to the faculty, DGS, and Graduate Program Committee for the annual review of student progress
  • Prepare and send final reports for students and faculty
