The department of Sociology within the Division of Academic Affairs is committed to providing students with the skills and methods to study social behavior from a sociological perspective. We seek an exceptional individual to join our team as the Sociology Administrative Support Assistant II. Requirements

  • High School diploma or the equivalent.
  • General working knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of office methods, procedures, practices, and equipment.
  • Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing.
  • Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data.
  • Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
  • Basic typing and keyboarding skills.
  • A background check (including a criminal records check) must be completed satisfactorily and is required for employment.
  • CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.
  • Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Nice To Haves

  • Two years of experience working in an academic departmental setting within a large, high-volume department.
  • Demonstrated ability to oversee multiple priorities, support faculty and staff, and maintain accuracy in fast-paced environment.

Responsibilities

  • Provides daily administrative clerical support to full and part-time faculty, over 1,100 students, and student organizations.
  • Provides front office support by screening phone calls, assisting walk-in visitors, and processing and distributing mail.
  • Orders textbooks and desk copies of books for all faculty and classes.
  • Supports the Administrative Support Coordinators and maintains the office supply inventory.
  • Maintains a clean, professionally appropriate environment in common office spaces, including the front office area, kitchen, two conference rooms, copy room, and student lounges.
  • Accesses databases for student record information, enrollment information, registration permits, and releases.
  • Maintains and updates the Department’s email account, email distributions, website, social media accounts, and creates and distributes marketing materials.
  • Schedules office locations for part-time faculty.
  • Maintains the department’s conference room calendar and schedules meetings and appointments.
  • Provides assistance with directing work and training the office Student Assistants.
  • Assists with meeting and event planning, including Commencement, Sociology Week, Faculty Retreats, and department meetings.
  • Other duties as assigned.
