About The Position

This full-time University Staff ongoing position (Program Associate) provides administrative assistance to the Department of Social Work, i.e., both the Chair of the Department and the Directors of the Social Work Field Program. The Program Associate must exercise independence in performing job duties and have the ability to follow through on all assigned tasks. The Program Associate reports directly to the Department Chair and can work flexible hours, Monday through Friday. The Department of Social Work prides itself on being a positive and supportive place to work. Along with the duties listed in the Standard Job Description -Job Library | UW System Human Resources (wisconsin.edu)- other major duties include the following: Enter data and maintain files Manage confidential records Prepare monthly reports including meeting minutes Organize Department events including guest lectures

Requirements

  • 3 years of experience in an office setting.
  • Associate’s degree in a related field or equivalent work experience.
  • Proficient in the use of office technology, including MS Office, as evidenced by application materials.

  • Bachelors degree or equivalent work experience preferred.
  • Excellent organization, prioritization, multi-tasking and program planning skills with strong attention to detail.
  • Ability to establish and maintain positive professional working relationships.
  • Ability to work independently on assigned tasks.

Responsibilities

  • Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
