Requirements

  • Minimum 3-5 years of day of event coordination
  • Minimum 3-5 years experience planning and executing social events and weddings
  • Excellent personal computer skills with experience in Microsoft Office, Google Suite and Tripleseat convention management software.
  • Possess above average verbal and written communication skills.
  • Possess excellent organizational skills.
  • Ability to meet deadlines and handle difficult situations with professionalism.
  • Ability to handle multiple tasks and priorities and work well under tight deadlines and pressure
  • Professional polished appearance is required at all times and in compliance with company dress code.

Responsibilities

  • Services Social Events, Weddings, Buyouts and VIP Corporate events
  • Key point of follow-up communication on all finalized sales contracts from Events
  • Effectively identifies and communicates guest needs
  • Generates BEOs, creates floor plans and creates event timelines based on needs of the event
  • Attends all assigned events and stays through the last key point of service on the timeline.
  • Captures the client’s vision and effectively assists with developing client menus and service timelines that help execute the clients needs.
  • Ensures excellent guest service with a respect for quality and careful attention to service and details, “ finding the yes “ whenever possible.
  • Works closely with clients with continued planning and execution based on the servicing timelines assigned to the department schedule
  • Maintains accurate files
  • Communicates all event food and beverage needs, setup requirements, and operational details to Banquet Management and Culinary team in a timely manner and meets all servicing deadlines for event details
  • Regularly attends BEO meetings for assigned events, and secures approval for all special requests with Banquet Manager or Culinary Management
  • Relays guest complaints and/or problems to Managers to ensure quality product delivery and guest satisfaction
  • Acts as the key liaison between Sales and the Guest while following-up and keeping all appropriate team Members and departments aware of event changes or guest concerns
  • Is consistently and willingly available to assist with special projects and events
  • Assists Sales Manager or Sales Director with quoting and negotiating pricing and processes contracts and estimates if the Sales Manager or Sales Director is not available to do so
  • Executes contract addendums as needed with the Sales Managers approval
  • Be available to assist client while on site at appropriate times (evening and weekends are required).
  • Requires schedule flexibility to accommodate irregular or extended hours, sometimes with little notice due to the nature of last minute event bookings.
  • Participate in wedding tradeshows as required
  • Attend required in-house meetings
  • Meet and greet clients, conduct property tours, and promote facilities and services in the absence of the Sales Manager
  • Assist with the overall set up and implementation of events and meetings
  • Assist with invoicing and billing and collects all outstanding final balances by accounting deadlines
  • Administration duties as needed
