About The Position

Site Lead for the Francis Perkins Building in Washington, DC Roles and Responsibilities The Site Lead shall be responsible for ensuring all work is performed as required under this contract. The Site Lead shall ensure Contractor employees are aware of, understand and abide by Department of Labor established rules, regulations, and safety practices, and shall have full authority to act on matters pertaining to the performance of services under this contract, including the full authority to dismiss employees from the DOL site. The Site Lead, who will be located at the FPB, shall be the primary person responsible for all employees working the conference support services on this contract. Additional tasks include enforcing Contractor quality control program (QCP), properly initiating, modifying, and cancelling customer requests in the scheduling/event management system, working with DOL officials to prioritize, delegate and supervise work, working with DOL officials to ensure adequate Contractor coverage in accordance with the SOW, and working in conjunction with DOL agencies to handle questions or concerns regarding performance under the SOW. The Site Lead shall have full knowledge of conference services procedures, including but not limited to: Working with DOL officials to ensure adequate coverage of Contractor employees, organizing employees to perform various conference services and AV support tasks, managing, receiving and scheduling daily/weekly workload, providing workload reports, using and managing customer requests through the scheduling/event management system, proper handling of equipment, Quality Control, and the protection and safeguarding of Government property. Receiving daily/weekly workload from DOL FPB Conference Center Manager, setting up, reconfiguring, and breaking down conference room setups, dealing with agency customers to address questions or concerns relating to their event, elevating equipment issues to the proper entity for repair or troubleshooting, proper use and care of Government equipment relating to conference center operations. Knowledge of setting up and configuring Audio Visual equipment. Must be able to move and setup conference center furnishings. Deliver logistical support to events in the conference center, including performing walkthroughs, interpreting, and addressing meeting requirements based on the conference schedule, setting up and changing meeting room configurations as needed. Straighten and maintain rooms between meetings, always maintain the professional appearance of the entire conference center and setup amenities as required. Greet guests at the start of each meeting, fulfill additional meeting planner requests and provide direct support service, including participating in pre-conference meetings and conducting phone or e-mail confirmations daily. Daily use of software platforms associated with maintaining meeting room requests, tracking events, managing user profiles and daily report distribution. Communicates with team members and stakeholders frequently via email. Communicate regularly with other agencies providing event services support. Liaises with building management when submitting requests for building tenant event spaces on behalf of meeting planners. Other job duties as assigned. Ensure DOL facilities will be ready and presentable before an event and ensure that whiteboard markers, flip charts, easels, laser pointers, microphones, and slide changers etc., are in place and ready for use by event presenters and participants. The Site Lead shall be available to the Contracting Officer Representative (COR) via telephone between the hours of 7:00 am and 4:45 pm EST Monday through Friday and shall respond within thirty minutes of notification for discussion and resolution of technical problems. Ability to lift 50lbs. During any absence of the Site Lead, only one alternate shall have full authority to act for the Contractor on all matters relating to this contract. The Contractor shall not replace the Site Lead without prior written approval from the Contracting Officer.

Requirements

  • Experienced supervisor, with at least five (5) years of supervisory experience; Government experience is preferred
  • Two (2) years relevant experience in conference services and AV equipment
  • A valid certification as an Audiovisual and Integrated Experience Association (AVIXA) Certified Technology Specialist (CTS) is required and can act as a substitute for two (2) years of experience. AVIXA CTS certification must be provided to the COR for approval
  • Proven experience in meeting planning and conference techniques including logistic coordination, schedule management, food, and beverage planning
  • Experience utilizing resource management systems to communicate meeting logistics with multiple stakeholders, manage multiple conference room reservations and focus on the strategic assignment of meeting space to improve utilization
  • Ability to effectively communicate information in one-on-one and small group situations
  • Ability to perform under pressure, solve meeting planner concerns while maintaining a professional demeanor
  • Proficient in Microsoft Office Suite, specifically Outlook, Word, and Excel
  • Must be alcohol and drug free and willingly submit to periodic drug testing
  • High School Diploma, GED, or equivalent is required
  • Ability to lift 50lbs
