A reasonable estimate of the current range is: Grade: Professional 313 Pay Range: $119,400.00 - $185,100.00 Job Description The Site Lead, Facilities is the on-site operational leader responsible for ensuring the office runs efficiently, safely, and in alignment with WGU standards and culture. This role serves as the primary point of contact for day-to-day site operations, including vendor coordination, workplace services, employee support, and front-of-house experience. This individual owns the execution of workplace operations, ensuring a seamless and professional environment while partnering closely with People & Talent (P&T), Safety, and internal stakeholders. While this role supports employee engagement and on-site events, it is not responsible for event ownership or programming strategy.

Requirements

  • Strong knowledge of workplace operations, facilities coordination, and vendor management
  • Ability to operate as the primary on-site decision-maker for day-to-day office operations
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines
  • Strong interpersonal and communication skills with a customer-service and hospitality mindset
  • Ability to build effective partnerships across teams (P&T, Safety, IT, leadership)
  • Proactive problem-solving skills with a solutions-oriented approach
  • Ability to balance operational execution with employee experience and culture
  • High level of accountability, ownership, and follow-through
  • Comfortable working independently in a lead, on-site role
  • Bachelor’s degree required
  • 5–7 years of experience in facilities, workplace operations, office management, or a related field
  • Experience managing vendors and coordinating workplace services required

Responsibilities

  • Site Operations & Facilities Management Own the day-to-day operations of the office, ensuring a safe, functional, and well-maintained workplace
  • Serve as the primary on-site contact for facilities-related issues, escalating and resolving concerns in a timely manner
  • Manage vendor relationships including janitorial, maintenance, office services, and building management
  • Oversee office equipment, supplies, and service contracts to ensure operational continuity
  • Coordinate repairs, preventative maintenance, and workplace improvements
  • Maintain workspace standards across reception, meeting rooms, shared spaces, and break areas
  • Vendor & Workplace Services Management Act as the main point of contact for all site vendors, ensuring service quality and adherence to SLAs
  • Coordinate deliveries, mail services, and inventory management for office supplies
  • Manage workplace services including badge access coordination, parking, and site logistics
  • Monitor vendor performance and identify opportunities for operational improvements
  • Reception & Front-of-House Leadership Ensure a consistently professional, welcoming, and organized front-of-house experience
  • Oversee visitor management processes, including guest check-in, logistics, and communication
  • Serve as a cultural ambassador for the site, modeling professionalism and hospitality
  • Establish and maintain standards for reception operations and guest experience
  • Meetings & Event Support Provide operational support for on-site meetings, events, and employee activities
  • Coordinate logistics including room setup, catering, AV/technology, and vendor access
  • Partner with internal stakeholders to execute event needs while not owning event planning or strategy
  • Maintain visibility into the site’s event calendar to support space and resource planning
  • Employee Onboarding & Workspace Experience Partner with hiring managers and P&T to ensure workspaces are prepared for new hires
  • Coordinate workstation setup, access, and readiness prior to start dates
  • Manage seating assignments and support moves/adds/changes in partnership with P&T
  • Act as a key resource for employees regarding workplace needs and questions
  • Security, Safety & Compliance Support implementation of site safety protocols, emergency procedures, and compliance requirements
  • Maintain safety supplies, postings, and documentation in accordance with company standards
  • Coordinate with Safety and Security teams on drills, incident response, and preparedness
  • Monitor and escalate security or safety concerns as needed
  • Administrative & Site Support Support logistics for leadership visits, interviews, and cross-functional meetings
  • Partner with Internal Communications to distribute site-specific updates and announcements
  • Maintain documentation related to site operations, vendors, and workplace procedures
