About The Position

The Club House Site Coordinator works with the Program Director to oversee and manage the day-to-day operations of the Club House program at a Middle or Elementary School program site within North Thurston Public Schools. This role works directly with students, guiding homework help, academic activities, enrichment activities, physical fitness activities, youth leadership development, small-group student meetings, snack, and other activities. Additionally, The Site Coordinator provides direct supervision to Program Facilitators at site and collaborates with staff to organize & compile site lesson plans, schedules, donations, and participation in trainings with a commitment to learn and follow strategies as defined in the national Youth Program Quality Initiative (YPQI) or other program quality initiatives as directed by OSPI funding.

Requirements

  • High School Diploma
  • 3+ Years of K-12 education and youth programming experience, including at least 1 year of supervisory experience.
  • Current First Aid and/or CPR certification, to be completed within 90 days of hire.
  • Valid Driver’s License

  • Strong written and verbal communication skills, including the ability to communicate clearly, professionally, and effectively with staff, partners, stakeholders, and program participants.
  • Strong understanding of workplace professionalism and non-discrimination practices, including appropriate handling of sensitive or personnel-related matters and adherence to equitable workplace standards.
  • Strong professional conflict management skills, including the ability to navigate disagreements respectfully, maintain professionalism in high-stress situations, and escalate concerns appropriately when necessary.
  • High level of independence and self-direction, with strong follow-through, accountability, and the ability to contribute effectively within a collaborative team environment.
  • Strong proficiency in Microsoft Office and general computer applications, with the ability to quickly learn, adapt to, and effectively utilize new systems and technologies.

Responsibilities

  • Manage and oversee day-to-day operations of the Club House program at the assigned school site
  • Ensure compliance with school district, TOGETHER!, and 21st Century Community Learning Centers (21st CCLC) policies, procedures, and grant requirements
  • Participate in Youth Program Quality (YPQ) self-assessments, goal setting, and program evaluation activities
  • Collect and report required program data in coordination with the Program Director
  • Recruit participants and ensure average daily attendance targets are met
  • Oversee student registration, enrollment, and communication with families
  • Establish and maintain partnerships with community-based organizations, public agencies, universities, and local partners
  • Purchase food and program supplies; complete credit card reconciliation and reporting
  • Network with local organizations to build partnerships and secure resources
  • Supervise and manage site staff, volunteers, and overall student environment at the site
  • Maintain consistent communication with staff, Program Director, school personnel, families, and partners
  • Identify, recruit, and train volunteers, parent liaisons, and community partners
  • Provide mentorship and guidance to facilitators on lesson planning, activity delivery, and classroom management
  • Delegate and oversee administrative tasks such as: Volunteer recruitment and tracking hours Donation tracking and documentation Creating thank-you communications for volunteers and donors
  • Support Program Director with additional projects and program initiatives
  • Model and enforce professional conduct standards (attendance, boundaries, communication, etc.)
  • Provide direct supervision of students during all program components, including: Mealtime Homework support Enrichment activities Recreation Transitions
  • Proactively engage with students to create a safe, inclusive, and supportive environment
  • Ensure delivery of high-quality program services for enrolled children and families
  • Prepare and support staff in developing lesson plans for academic and enrichment activities
  • Compile weekly lesson plans, supply lists, and create site calendars
  • Implement family engagement activities, services, and events
  • Ensure consistent implementation of student and program evaluation activities
  • Demonstrate strong problem-solving and crisis management for student and staff-related issues
