The Shipping & Receiving Coordinator serves as the operational lead and backup to the Shipping & Receiving Manager, supporting all warehousing, inbound receiving, outbound freight coordination, and inventory control activities for the facility. This role is responsible for ensuring accurate order fulfillment, transportation planning, inbound material verification, freight cost control, and real-time inventory integrity. The Coordinator acts as a key liaison between the plant, sales team, carriers, suppliers, and customers to ensure accurate documentation, quality compliance, and on-time delivery. This is a working lead position providing daily direction, guidance, and training to material handlers and pickers while maintaining hands-on responsibility for receiving inspections, shipping documentation, freight optimization, and ERP system accuracy.

Requirements

  • High School Diploma required.
  • 5–10 years of experience in warehousing, freight coordination, or logistics operations.
  • Forklift Certification
  • Experience with LTL/FTL freight, broker coordination, and rate negotiation.
  • Working knowledge of ERP/MRP systems and inventory control processes.
  • Strong proficiency in Microsoft Excel and logistics software platforms.
  • Ability to analyze freight invoices and cost data.
  • Effective verbal and written communication skills.
  • Ability to work independently and prioritize competing demands.
  • Flexibility to adjust schedule, including overtime, to meet shipping deadlines.

Responsibilities

  • Oversee daily receiving operations including unloading, verification, and system entry of inbound shipments.
  • Inspect raw materials (steel coils, sheet stock, wire rod, components) for material conformity and compliance.
  • Verify resold finished products against purchase orders for: Quantity accuracy Packaging integrity Product identification and labeling compliance
  • Confirm packing lists, BOLs, and supplier documentation match physical receipts.
  • Identify and segregate non-conforming materials.
  • Initiate supplier discrepancy reports for shortages, damages, or spec deviations.
  • Ensure accurate ERP transactions for receipts and material location assignments.
  • Coordinate return shipments or corrective actions with suppliers when required.
  • Obtain and negotiate freight rates for: LTL (Less Than Truckload) FTL (Full Truckload) Volume and partial shipments Flatbed and specialized equipment Intermodal and containerized freight when applicable
  • Utilize 3PL rate management platforms, TMS systems, and freight brokers to secure competitive pricing.
  • Coordinate daily outbound truck scheduling and dock planning.
  • Manage domestic shipments and assist with international shipments including: Commercial invoices Bills of Lading (BOL) Packing lists Export documentation (when applicable)
  • Track shipments proactively to ensure on-time delivery performance.
  • Resolve carrier discrepancies, freight claims, and service failures.
  • Process and validate scanned sales orders within ERP/MRP systems.
  • Record and verify pick ticket accuracy upon completion by warehouse staff.
  • Ensure proper staging, labeling, palletization, and load securement standards.
  • Confirm finished goods quantities and packaging compliance before shipment.
  • Support cycle counting and physical inventory verification processes.
  • Maintain FIFO inventory flow and lot traceability where required.
  • Maintain high level of inventory accuracy across finished goods, raw materials, and WIP.
  • Investigate and reconcile inventory discrepancies.
  • Perform root cause analysis for shrinkage, mis-picks, or transactional errors.
  • Ensure timely and accurate ERP transactions for shipments, receipts, and adjustments.
  • Support annual physical inventory audits.
  • Prepare and distribute all shipping and billing documentation.
  • Generate Bills of Lading, packing lists, and freight documentation.
  • Ensure compliance with DOT, carrier, and customer shipping requirements.
  • Maintain organized digital and physical records of freight transactions.
  • Maintain accurate data within Excel and company software systems.
  • Conduct periodic review and analysis of freight spend.
  • Identify opportunities for cost savings through mode optimization, consolidation, and carrier negotiation.
  • Monitor accessorial charges and prevent avoidable fees (detention, re-delivery, liftgate, etc.).
  • Support continuous improvement initiatives in transportation efficiency.
  • Serve as backup to the Shipping & Receiving Manager.
  • Provide direction and daily guidance to material handlers and pickers.
  • Assist with workload prioritization based on shipping deadlines.
  • Train warehouse staff on proper documentation, scanning, and shipping procedures.
  • Reinforce safety standards and dock organization practices.
  • Promote accountability and accuracy within the team.
  • Act as communication bridge between: Plant operations Sales and customer service Carriers and freight brokers Customers
  • Provide shipment status updates to internal and external stakeholders.
  • Address customer delivery concerns with professionalism and urgency.
  • Support sales team with freight estimates and logistics feasibility assessments.
  • Perform additional assignments and projects as directed by management.
