Purpose To assist with directing and fulfillment of the clerical duties of the Shipping & Receiving office. Areas of Responsibility / Tasks Leadership: Assist with training/cross training new and existing employees. Assist with maintaining training in cooperation with the onsite Quality Coordinator. Direct the daily duties of the Shipping & Receiving coordinators, ensuring coverage for all functions and process completion. Preparing and reviewing daily reports available to ensure all orders are received/processed. Organize and total month end reports by activity and customer. This includes charges tracked manually, barcodes, late shipments. Request packaging supplies and communicate levels to manager so they can purchase. Order Processing: Responsible for ensuring accuracy; verifying allocated quantities and adhering to customer request. Preparing all shipping documents including but not limited to pick tickets, packings slip, bill of ladings, and shipping labels. Update shipping records: Dock schedule, BOL scanning and other required ones. Log and update month end reports with manual charges applicable. Communication: Assist warehouse personnel with order correction and other related inquiries. Schedule in-bound and outbound deliveries, managing dates and times. Communicate to the bulk office when to scale non-bulk shipments upon request. Dedicated feet management. Review communications with the dedicated fleet that pertain to the shipping and receiving office. Confirm accuracy of missed shipments and escalate to manager when these are related to a warehouse or office error. Keep management abreast of significant issues or developments that impact quality, operations and customer satisfaction. i.e. shipping errors, missed shipments. Quality Compliance: Assist the Quality Department with ISO document creation and revision, ensure all ISO documentation is current and adhered to. Participate in cooperation with department managers in the completion of corrective action reports. Participate in facility objectives focused on customer service and continual improvement. Clerical Duties Organize completed shipping documents in preparation for shipment confirmation. Answer phones, assist driver inquires, document shredding/disposal in conjunction with the department manager. Maintain a clean and organized workspace. Other duties as assigned by manager.
