About The Position

The Shipping and Receiving Coordinator is responsible for coordinating all inbound and outbound movement of steel plate, structural steel, and fabricated components at Willbanks Metals Inc. This role verifies and documents shipments, ensures material accuracy and traceability, and works closely with Production, Sales, and Yard personnel to meet customer delivery requirements and internal quality and safety standards. This position may be assigned to 1st or 2nd shift based on business needs.

Requirements

  • High school diploma or GED (equivalent experience may be considered).
  • 1+ year experience in shipping and receiving, warehouse, logistics, or a related role.
  • Experience working in an industrial, metals, fabrication, or distribution environment preferred.
  • Basic proficiency with Microsoft Outlook, Excel, and Word; ability to learn ERP and other specialty software.
  • Ability to manage a high-volume email inbox and prioritize tasks in a fast-paced environment.
  • Strong attention to detail and accuracy when working with part numbers, heat numbers, sizes, and shipping/receiving paperwork.
  • Effective communication skills and ability to work collaboratively with production, yard, sales, drivers, and management.
  • Demonstrated commitment to working safely around heavy equipment, moving loads, and steel products.
  • Ability to work assigned shift (1st or 2nd) and overtime or occasional Saturdays as needed.

Nice To Haves

  • 2+ years of forklift experience (sit-down and/or stand-up), including handling long and heavy loads.
  • Experience operating overhead cranes in a steel or heavy industrial environment.
  • Current forklift certification (or ability to obtain shortly after hire).
  • Current CDL is a plus, but not required.
  • Previous experience in a steel service center, fabrication shop, or industrial distribution warehouse.
  • Ability to work any shift and adapt to changing production and shipping priorities.

Responsibilities

  • Follow documented shipping and receiving processes to ensure all inbound and outbound loads are safely and efficiently loaded/unloaded, checked, and processed to company quality standards.
  • Verify material (grade, size, quantity, heat/lot numbers, and other identifiers) against bills of lading, packing lists, work orders, and other shipping documents before driver signature and ERP processing.
  • Accurately enter and update shipment, receipt, and inventory data in the ERP system and other software to maintain real-time inventory accuracy and traceability.
  • Coordinate daily with Production, Sales, and Yard/Material Handling teams to stage, prioritize, and release material for customer orders and internal fabrication jobs.
  • Use Outlook and other communication tools to send shipment status updates, request production lead times, and communicate issues or delays.
  • Process daily receiving reports; ensure all open purchase orders and return authorizations are received, documented, and closed in a timely manner.
  • Receive, unpack, and inspect incoming steel, consumables, and supplies; verify against packing slips and report any shortages, overages, or damage.
  • Verify and receive defective or returned material from customers and the field; properly segregate, tag, and document material for disposition.
  • Identify, document, and communicate any damage, quality issues, or discrepancies to appropriate stakeholders for corrective action and possible reimbursement.
  • Ensure outbound loads are properly packaged, banded, blocked, and secured in accordance with company standards, safety guidelines, and carrier requirements (flatbed and van).
  • Prepare and organize all required shipping paperwork, including bills of lading, packing lists, labels, material test reports (MTRs), and other documents required for steel traceability.
  • Help maintain a clean, organized dock, staging, and yard area in accordance with 5S and safety expectations.
  • Safely operate forklifts, yard equipment, and (if applicable) overhead cranes to move steel and finished goods, once properly trained and certified.
  • For 2nd shift assignments: inspect and verify load readiness for next-day shipments, confirm paperwork, and communicate any shortages or issues to the day shift and supervisor.
  • Assist with cycle counts and physical inventories of finished goods and raw material.
  • May perform other duties and tasks as assigned.
