The Manager of Shared Services Operations leads a high-impact team responsible for centralized operational functions that support Implementation, Services, and Compliance across the organization. This role owns end-to-end workflows for mail processing, driver and asset data management, system configuration builds, document imaging, and cross-functional operational support. This leader ensures accuracy, scalability, compliance, and continuous improvement across a function processing tens of thousands of documents annually and resolving 10,000+ tickets per year, while serving as a critical backbone to client onboarding and ongoing service delivery

Requirements

  • 2+ years of experience in operations, shared services, or process-driven environments
  • Strong process design, documentation, and continuous improvement mindset
  • Comfort working across multiple systems and workflows simultaneously

  • Familiarity with Salesforce, JIRA, or similar workflow/ticketing systems

Responsibilities

  • Lead, coach, and develop the Shared Services team, including workload prioritization, performance management, and career development
  • Establish clear operating rhythms, SLAs, and accountability across a high-volume transactional environment
  • Foster a culture of quality, ownership, and continuous improvement
  • Own centralized operational services including: Mail room intake, scanning, Salesforce cataloging, and distribution
  • Driver data management (document imports, qualification files, status updates)
  • Asset data management (registrations, title retention, asset status lifecycle)
  • Physical document warehousing and retention processes
  • Ensure accuracy, completeness, and compliance across all document and data workflows
  • Partner closely with Implementation and Services teams to support:
  • Job class builds and tracked document settings
  • Driver and asset list imports
  • EFleet form builds and updates
  • Client manuals and sample file reviews
  • Act as an escalation point for complex or high-risk cases impacting go-live or client operations
  • Oversee work executed in CPSuite, Salesforce, JIRA, and document imaging systems
  • Identify process gaps, automation opportunities, and efficiency improvements
  • Standardize workflows and documentation to enable scale and consistency
  • Ensure proper handling and retention of sensitive data (PII, driver records, titles, POAs)
  • Maintain audit-ready processes for document storage, release, and lifecycle management
  • Partner with Legal, Compliance, and Security as needed
  • Serve as a trusted operational partner across Implementation, Services, Fuel Tax, and Product teams
  • Provide operational insights, metrics, and recommendations to leadership
