About The Position

The Shared Services Coordinator serves as the onsite administrative and recruiting lead for a designated Private Education account within the Janitorial and Landscaping divisions. Recruiting is the primary focus of this role, including full-cycle recruiting, staffing coordination, onboarding support, and daily applicant tracking, while also providing front-office administrative and HR support. The coordinator will serve as a key liaison between operations, Shared Services, candidates, and employees to ensure timely hiring, accurate documentation, and a high level of employee and client service.

Requirements

  • Working knowledge of general office operations, including filing and administrative support.
  • Knowledge of business office operations—filing and administrative clerical operations.
  • Proficient in Windows work environment and computer programs such as Outlook, Word and Excel.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Strong verbal and written communication skills with employees and the public, with the ability to maintain confidentiality and a professional demeanor.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to use a calculator.
  • Ability to follow written and verbal instructions and apply practical problem-solving skills.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced environment

Nice To Haves

  • Bilingual proficiency - Spanish preferred
  • Prior knowledge of principles and practices of human resources.
  • General knowledge of computerized HRIS helpful.

Responsibilities

  • Lead full-cycle recruiting efforts for assigned Private Education location.
  • Recruit qualified candidates through direct recruiting, referral programs, online postings, community outreach, and job fairs.
  • Facilitate internal job fairs and attend external job fairs.
  • Daily monitoring, screening, and sorting of the applicant pool.
  • Conduct initial interviews to determine best requisition alignment.
  • Maintain and build a bench of pre-screened, qualified candidates for rapid placement.
  • Review and maintain internal bench candidates, keeping them engaged for future opportunities.
  • Process recruiting and HR updates within the Applicant Tracking System (ATS), including onboarding and terminations.
  • Coordinate closely with manager to ensure requisitions are accurate and hiring timelines
  • Provide basic administrative support to the account and Account Manager
  • Maintain a professional and welcoming office environment
  • Serve as the first point for employees and incoming calls
  • Assist employees with paystubs, system access, and wage verifications
  • Respond to general HR inquiries, including FMLA and ADA processes
  • Support onboarding documentation and ensure compliance with company policies.
  • Maintain confidentiality and professionalism in all interactions
