Requirements

  • High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Excellent written and verbal communication skills
  • Strong teamwork orientation and ability to follow direction
  • Computer proficiency and typing skills
  • Prior experience with EMR systems preferred
  • Strong customer service skills with a patient-centered approach
  • Previous healthcare administrative experience preferred
  • Reliable transportation

Responsibilities

  • Coordinate with sessional offices to obtain, organize, and manage upcoming patient appointment schedules while registering and scheduling visits within the EMR system.
  • Confirm patient appointments at least two days in advance and ensure patients leave with a complete treatment calendar including pre-treatment visits, infusions, injections, radiology, physician follow-ups, and specialty appointments.
  • Maintain balanced infusion and shot room schedules by distributing appointments evenly and making adjustments as operational needs require.
  • Process new patient documentation by scanning packets, updating demographic information, and ensuring all required consent and patient education forms are completed and uploaded to the chart.
  • Collaborate with nursing and business office teams to review unscheduled IV and injection drug orders, confirm authorizations, and coordinate timely appointment scheduling.
  • Contact patients with outstanding drug or radiology orders and coordinate completion of required services.
  • Obtain necessary clinical documentation including prior records, imaging, and external reports to support scheduling and care coordination.
  • Review test preparation instructions with patients, addressing questions or concerns prior to scheduled procedures.
  • Arrange and follow up on hospital-based services such as admissions, transfusions, biopsies, and port placements to ensure completion.
  • Retrieve STAT clinical results (pathology, laboratory, radiology, and medical records) for physicians and nursing staff and manage pathology submission and follow-up processes.
  • Facilitate communication between internal and external providers, including coordinating physician-to-physician discussions when needed.
  • Provide operational support to front desk and clinical teams, including assisting with patient-related calls and performing additional duties as assigned to support practice workflow.
