Requirements

Responsibilities

  • This position is responsible for the receipt and flow of all incoming work, communication with customers and constant communication with all other internal departments.
  • Write up customers’ vehicle issues and concerns or maintenance requirements accurately and clearly.
  • Must be able to understand, communicate, and evaluate all vendors and Int’l. Warranty guidelines, approval processes and policies during the write up and repair process.
  • Establish customers’ method of payment, Purchase Order requirements and estimate requirements if needed at time of write up.
  • Conducting the flow of all service work, technician accountability, vehicle repair completion, documentation.
  • Understanding and ensuring compliance with all International vendor policies and warranty procedures.
  • Investigating the progress of vehicle repair completion by conducting periodic spot checks of all jobs throughout the day to ensure timely repairs, quality workmanship and cleanliness.
  • Ensuring that all warranty parts are clean, lube drained (if required), tagged and stored in the designated location.
  • Ensuring that all vehicles are road tested when required and that the repairs were completed correctly.
  • Prepare, code, and submit warranty claims in compliance with vendor policies.
  • Reconcile warranty receivables with payments weekly.
  • Follow up on outstanding claims within 60 days.
  • Review charge backs with the service manager and resubmit claims when appropriate.
  • Notify customers promptly of non warrant-able failures.
  • Keep warranty policies and product knowledge current.
  • Provide warranty updates to service staff and technicians.
  • Ensure all warranty repairs are documented with detailed technician notes and accurate time allotments.
  • Tag and track all warranty parts, ensuring timely shipment to designated locations.
  • Maintain warranty service records in accordance with manufacturer and supplier requirements.
