About The Position

WCA is seeking a highly detail-oriented and self-motivated HVAC Service Parts & Purchasing Coordinator to support our residential and commercial service operations across five locations. This role plays a critical part in securing warranty and non-warranty HVAC parts, managing purchasing and POs, and ensuring timely coordination between technicians, vendors, dispatch, and customers. Monday - Friday beginning at 7am - This position is onsite. Our ideal candidate thrives in a fast-paced environment, takes ownership of their work, and understands the urgency and financial impact of warranty processing and parts availability.

Requirements

  • 5+ years of experience in HVAC parts coordination, purchasing, or a related role
  • Strong knowledge of HVAC parts, supplies, and warranty processes
  • Experience working with manufacturers, distributors, and vendors
  • Exceptional attention to detail
  • Strong time management skills with the ability to prioritize
  • Confidence communicating by phone, email, and internal systems
  • High level of comfort with computers, typing, and technology
  • Experience creating and managing purchase orders
  • Ability to work independently and stay organized in a fast-moving environment
  • Strong work ethic and self-motivation

Responsibilities

  • Securing HVAC warranty parts for systems
  • Working directly with manufacturers and vendors to:
  • Verify warranty eligibility
  • Order parts from factories or distribution centers
  • Track shipping and delivery timelines
  • Filing manufacturer warranties accurately and within strict deadlines to ensure reimbursement
  • Coordinating with dispatch, technicians, management, and customers
  • Creating and managing purchase orders (POs) for parts and materials
  • Monitoring and controlling purchasing to prevent unnecessary or incorrect orders
  • Sourcing and ordering hard-to-find parts
  • Supporting warranty credits, restocking, and post-job inventory reconciliation
  • Maintaining accurate records and documentation for parts, warranties, and purchases
