About The Position

We are seeking a Service Coordinator to keep our service operations running smoothly and on schedule. This role owns technician scheduling and dispatch, customer communication, and service documentation while supporting performance tracking, payroll processing, and purchase orders. The Service Coordinator is a central point of contact between customers, technicians, and leadership. Success in this role requires strong organization, urgency, clear communication, and the ability to manage multiple priorities in a fast-paced service environment.

Requirements

  • High school diploma or GED required; associate or bachelor’s degree preferred
  • 2+ years of experience in scheduling, dispatching, or service coordination, ideally in construction or service trades
  • Strong understanding of scheduling practices, workforce planning, and service operations
  • Proficiency with dispatching software, CMMS/CRM systems, and Microsoft Office (Outlook, Excel, Word)
  • Excellent organizational and time management skills with the ability to manage interruptions and deadlines
  • Clear, professional communication skills with technicians, customers, and leadership
  • Detail-oriented, calm under pressure, and able to problem-solve in real time
  • Ability to read work orders, service tickets, and basic scopes of work
  • Working knowledge of geographic areas and travel times to support efficient routing
  • Team-oriented, reliable, and customer-focused

  • Familiarity with HVAC, plumbing, or construction environments preferred

Responsibilities

  • Receive and acknowledge service requests via phone, email, or online portal within 15 minutes during working hours
  • Schedule and dispatch technicians based on availability, skill set, workload, and customer needs
  • Optimize technician routes to improve efficiency and minimize travel time
  • Maintain real-time service schedules and communicate changes promptly to technicians and customers
  • Serve as the primary point of contact between customers, technicians, and service leadership
  • Confirm appointments, send reminders, provide service updates, and conduct post-service follow-ups
  • Maintain accurate service records, job notes, and documentation in the CMMS
  • Track key performance indicators including response times, completion rates, customer satisfaction, and preventive maintenance compliance
  • Ensure at least 98% of preventive maintenance tasks are completed within the month due
  • Generate and submit operational, performance, and payroll reports
  • Create and update purchase orders in QuickBooks and ServiceTrade and reconcile technician receipts
  • Process payroll daily and submit weekly payroll summaries
  • Support on-call operations by responding to urgent service requests and dispatching technicians as needed
