About The Position

The Service Coordinator - Manufacturing & Engineering role at Hyper Solutions supports the Service Delivery Manager in managing day-to-day service operations, ensuring efficient coordination across service partners, internal teams, and customers. This role focuses on scheduling, administrative execution, and system accuracy to enable timely, cost-effective, and high-quality service delivery. Serving as a key operational support function, this position works closely with Service, Supply Chain, Sales, and Finance to track job progress, maintain documentation, and assist with procurement and logistics that keep service operations running smoothly. You’ll work closely with cross-functional teams to ensure reliable, responsive service execution while contributing to operational efficiency, customer satisfaction, and continuous improvement across the business.

Requirements

  • 2–5 years of experience in service coordination, operations, logistics, or administrative roles.
  • Associate or Bachelors Degree in Business, Supply Chain, Operations or relative field or relative work experience.
  • Experience working in manufacturing, industrial, technology, or field service environments.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency with ERP, CRM, or service management systems, including NetSuite.
  • High attention to detail, accuracy, and follow-through.
  • Flexibility to support suppliers and service partners across different locations and time zones.

Nice To Haves

  • Experience supporting field service technicians or external service providers.
  • Familiarity with electrical, mechanical, or technology-based products.
  • Experience coordinating parts, inventory, or logistics.
  • Exposure to service KPIs, metrics tracking, or continuous improvement initiatives.
  • Proficiency with Microsoft Office tools, including Excel, Word, and PowerPoint.

Responsibilities

  • Support scheduling and coordination of service partners and internal resources for field service activities related to the company's manufacturing and engineering services
  • Communicate job details, timelines, and required documentation to service partners and internal stakeholders.
  • Monitor job status and update systems to reflect progress, completion.
  • Prepare and process service orders and purchase orders under the guidance of the Service Delivery Manager.
  • Maintain accurate records of service events, parts usage, and service partner communications.
  • Assist with invoice reconciliation and documentation to support accurate billing.
  • Track parts availability and coordinate with Supply Chain to ensure timely delivery for service jobs.
  • Support service inventory management by monitoring stock levels and reporting replenishment needs.
  • Enter and maintain service-related data in NetSuite and Shepherd CMMS, ensuring accuracy in time, materials, and job documentation.
  • Act as a liaison between service providers and internal teams, providing routine updates and responding to service-related inquiries.
