About The Position

Total Fire is seeking a highly organized, detail-oriented Service Billing & Operations Specialist to join our Fire and Life Safety team. In this role, you aren’t just "crunching numbers"—you are the final gatekeeper of our service integrity. Using ServiceTrade, you will oversee the full lifecycle of service billing, from reviewing technician notes to generating professional invoices and ensuring our clients receive accurate, timely documentation. The ideal candidate is an "investigator" by nature. You will need to dive deep into work orders to ensure compliance with fire codes, verify parts usage, and collaborate across departments to resolve discrepancies. Requirements

  • Platform Expertise: Prior experience with ServiceTrade (or similar field service management software) is highly preferred.
  • The "Investigator" Mindset: Exceptional attention to detail with the ability to spot errors in complex service reports and follow through until they are corrected.
  • Adaptability: A "multiple hats" philosophy—comfortable pivoting from administrative tasks to high-level problem solving as the day demands.
  • Communication: Strong professional verbal and written communication skills for interacting with both field technicians and corporate clients.
  • Efficiency: Ability to manage a high volume of transactions without sacrificing accuracy.

Nice To Haves

  • Industry Knowledge: Basic familiarity with Fire & Life Safety services (sprinklers, alarms, extinguishers) is a significant plus but not required.

Responsibilities

  • Invoicing & Revenue Management: Review, generate, and dispatch service invoices daily within ServiceTrade, ensuring all labor, parts, and trip charges are captured accurately.
  • Operational Investigation: Audit completed work orders for "missing pieces." You’ll verify that technician notes match the services performed and that all life safety documentation is attached.
  • Cross-Department Collaboration: Work closely with the Service Department, Sales, and Technicians to clarify job details and resolve billing hurdles.
  • Data Integrity: Maintain clean customer records and service links within ServiceTrade to ensure recurring maintenance schedules remain accurate.
  • Problem Solving: Identify and resolve billing discrepancies by researching historical data and contract terms.
  • Reporting: Assist management in tracking unbilled revenue and "work-in-progress" (WIP) reports to ensure hitting month-end targets.
