GENERAL PURPOSE: Lead the Las Vegas Service Admin team in relieving associate departments and management of clerical work, administrative and business functions by performing the following duties: ESSENTIAL DUTIES & RESPONSIBILITIES: Supervise and oversee the Las Vegas Service Admin team members and associated work streams Track team and team member performance against established benchmarks Complete annual performance reviews for team members Perform hiring functions for team, as needed Lead by example in the performance of team duties Serve as subject matter expert in team processes and procedures Coordinate and perform accurate and efficient billing operations Create and send accurate invoices, upholding department policies and procedures Coordinate and perform other office operations and procedures, including maintaining accurate customer information, creating customer records in Servizio, setting up Time & Material orders in Servizio, creating jobs from patrols for customers under Service Agreement contracts, and creating Quoted Service and other jobs Ensure team compliance with commission policy Create Commission Tickets for approval Maximize team productivity through proficient use of software applications Facilitate the flow of information to allow for efficient coordination of business activities from initial customer contact to sending it to the Service Operations team to complete the work. Review completed Service Agreement jobs to ensure that all time & materials have transferred to the job order in NetSuite. Set up contract renewals monthly and send to Account Executives Coordinate and supervise accurate and timely volume, revenue and commission posting Model strong customer service skills MARGINAL DUTIES & RESPONSIBILITIES: Perform receptionist duties, greets customers, and distributes mail Performs other functions as necessary or as assigned NATURE OF WORK CONTACTS: Interacts daily with employees in the office and the field to provide administrative support; may discuss and resolve customer issues and business matters Interacts regularly with customers both in-person and on the telephone to answer customer questions, resolve issues, and to coordinate payment TRAINING & QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
