Where is the work: On-Site (5 days) What’s in it for you: Our Life Science Solutions (LSS) Service business has an exciting new opportunity to join our organization as a Service Administration Manager. This position serves as a critical stakeholder in the commercial growth of our LSS Service organization, comprised of our DLR, Helmer and FARRAR brands. This position works closely with Service Coordinators/Customer Service Representatives, Billing Specialist/Project Administrators, Accounting Specialist, and is responsible for administration from customer intake through billing procedures and collections. Also responsible for processes improvements for the team to ensure driving positive customer impact and improved business results. You will be required to interact with multiple teams to ensure the timely completion of each project, to foster a positive culture. The successful candidate will be report to the LSS Service Leader, working alongside another Service Administrative Managers counterpart, Service Managers, Customer Service Representatives, Sales, and the Field to drive commercial growth. Requirements

  • Associate or bachelor’s degree preferred, or equivalent work experience in service administration, contract management, or customer operations.
  • Strong attention to detail and ability to manage multiple priorities.
  • Excellent communication and customer service skills.
  • Working knowledge of service management systems, CRM platforms, or ERP tools.
  • Ability to interpret service agreements, pricing structures, and technical service scopes.

Nice To Haves

  • Experience supporting life sciences, laboratory equipment, medical devices, or regulated service environments strongly preferred.
  • Familiarity with regulatory or quality requirements in life sciences is a plus (e.g., GMP, GLP, ISO 9001:2015, calibration standards).

Responsibilities

  • Manage daily administrative operations supporting service technicians, coordinators, billing specialists, and service leaders to ensure smooth service delivery.
  • Oversee accurate creation, routing, documentation, and closure of service orders while supporting efficient scheduling, dispatching, and customer communication.
  • Lead billing activities, validate labor and material entries, and ensure timely, accurate invoicing aligned with business financial targets.
  • Maintain data accuracy across service systems and generate reports on productivity, order status, billing performance, and contract health.
  • Ensure compliance with company policies and safety or regulatory requirements, maintaining audit ready documentation and service records.
  • Supervise and develop administrative staff, providing training on systems, processes, and best practices.
  • Collaborate closely with service, finance, sales, parts, and other teams to support operational coordination and customer satisfaction.
  • Drive continuous process improvement, optimizing workflows and identifying opportunities for digital tools or automation
