About The Position

The Service Administrator is responsible for managing customer service operations and administrative tasks to ensure efficient and smooth service delivery. This role involves tasks such as scheduling appointments, maintaining service records, communicating with clients, and supporting the service team in daily administrative duties.

  • Careful planning, multitasking, and excellent time management and customer service skills are critical.
  • Excellent attention to detail and accuracy in recordkeeping.
  • Bachelor’s degree in related field required.
  • Minimum three years of experience as a Service Administrator or similar role.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Responsibilities

  • Coordinates and schedules service appointments, installations, and maintenance activities.
  • Maintains detailed and organized records of service activities, including service reports, invoices, and customer interactions.
  • Process and track service orders from initiation to completion.
  • Assists in the preparation of invoices and tracks payments for services rendered.
  • Communicates with clients to inform them about service schedules, changes, or delays.
  • Handles customer inquiries, resolve issues, and escalate complex issues to the appropriate team.
  • Supports the service team by coordinating logistics, ordering parts, and managing inventories.
  • Prepares and present regular service reports for management. Generates reports regarding service operations, customer feedback, and other relevant metrics.
  • Collaborates with the sales and accounting departments to ensure smooth operations and customer satisfaction.
  • Adheres to local, state, and federal laws and regulations.
  • Performs administrative tasks such as data entry, filing, and record-keeping.
  • Stays updated with product knowledge to provide accurate information to customers.
  • Performs other duties as assigned.
