Our New York office is made up of more than 75 colleagues and is expected to grow significantly over the next few years, so when you join, you become a key part of building our culture. Your new role Due to our significant growth, we are expanding our investment capabilities in New York, focusing on Infrastructure, Property, Private Debt and Private Equity. This is a newly created position, that is based on-site at 1251 Avenues of the Americas, with a hybrid work schedule; and will report to the Head of Fund Services, who is also based in New York.

Requirements

  • 5+ years’ experience in a people leadership or similar senior administrative role.
  • Proven ability to manage a senior executive’s office, prioritizing tasks and working independently.
  • Demonstrated people management experience.
  • Ability to act with initiative and sound judgment in high‑pressure, deadline‑driven environments.
  • Flexibility to adjust priorities based on changing schedules or demands.
  • Strong communication skills and ability to work collaboratively with stakeholders at all levels.
  • Advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint).
  • Exceptional attention to detail and organizational ability, with experience managing multiple tasks simultaneously.
  • Strong interpersonal skills and ability to handle confidential information.
  • Demonstrated problem‑solving ability and initiative in removing obstacles.

Responsibilities

  • Manage and develop the Investment Team Coordinators, including training and ongoing skills development.
  • Delegate and balance workloads across team coordinators.
  • Lead projects and tasks that support effective team operations.
  • Provide coverage for team coordinators during absences to maintain smooth office operations.
  • Implement and improve administrative processes to increase efficiency.
  • Adapt to changing priorities and deadlines in a fast‑paced environment.
  • Provide administrative and operational support to US Investment teams.
  • Prepare, format, and edit Investment Committee papers, presentations, and reports using Excel, Word, PowerPoint, MS Teams, and SharePoint.
  • Manage email, communication, and executive calendars.
  • Coordinate meetings, including agendas, minutes, and logistics.
  • Manage travel arrangements and approvals.
  • Assist with credit card reconciliation, invoice processing, and purchase orders.
  • Support conferences and team events, including planning and coordination.
  • Use sound judgment to resolve issues efficiently and maintain workflow.
  • Contribute to projects and tasks that support smooth team operations.
  • Build and maintain positive, cooperative relationships with internal and external stakeholders.
  • Represent the Fund professionally to build rapport, trust, and confidence.
  • Collaborate and share information across the team, working closely with other Team Coordinators to support a cohesive environment.
