About The Position

The U.S. Meeting Services Sr. Specialist partners with Sales and Marketing teams to plan and execute large‑scale meetings across U.S. Sales Teams. Success in this role requires strong collaboration skills and the ability to work cross‑functionally as a trusted partner and primary point of contact for the business’s integrated communication needs, supporting the design and delivery of evolving strategies. Core responsibilities include, but are not limited to: Collaborating with internal teams, leadership, and external partners to align business strategies with event objectives, ensuring coordination of timelines, budgets, vendors, and stakeholder expectations while delivering exceptional experiences and seamless meeting execution. Leading the logistical coordination of all aspects of national and product launch meetings, including pre-planning, onsite execution, and post-event wrap-up. Overseeing vendors for all aspects of meetings and events (venue accommodations, catering , AV, meeting setup, transportation, security, etc.) Collaborating with meeting planning agency partners and production companies to establish KPIs that hold them accountable for delivering on their responsibilities in support of meetings Managing relationships with vendors, venues, and service providers to ensure high quality, cost efficiency, and seamless execution of events. Partnering with Marketing, Learning & Development and Sales Leaders to provide a clear line of sight to meeting plans, often making recommendations that reflect prioritization and informed trade-off decisions. Collaborating with meeting planning agencies and production companies to establish KPIs that hold them accountable for delivering on their responsibilities in support of meetings. Developing an understanding of the business units’ priorities in order to deliver a seamlessly coordinated meeting experience for customer-facing and HQ teams. Having a strong sense of urgency, credibility and confidence with Marketing and Sales leaders, including a strong work ethic, good judgment, confidence in decision-making and professional presence. Identifying opportunities for continuous process improvement including gathering stakeholder feedback, analyzing event success metrics, and optimizing processes for future events.

Requirements

  • BS/BA degree OR minimum of 4 years' experience in meeting planning logistics and operations, sales operations or related functions in the pharmaceutical, biotech or related industries.
  • Ability to work hybrid on-site at the North Wales (Upper Gwynedd), Pennsylvania office at least 3 days per week.
  • Strong project management experience and proven ability to develop a project plan to successfully manage meeting logistics.
  • Ability to effectively prioritize and execute tasks conforming to shifting priorities, demands and timelines
  • Experience working in a fast-paced, deadline-driven environment while maintaining a high level of detail.
  • Excellent interpersonal, written and verbal communication as well as strong presentation skills and an ability to build relationships with stakeholders.
  • Prior experience managing multiple vendors and enforcing deadlines.
  • Demonstrated ability to think critically, self-motivated, engaging and personable.
  • Robust collaboration, independent resourcefulness and organizational skills.
  • Ability to act with minimal supervision, prioritize activities and manage multiple tasks within deadlines.
  • Travel 10-15% of time.
  • This role is intended to be a long‑term opportunity. It is highly preferred the selected candidate will be interested in building sustained contribution in the role over a period of approximately 24 months.
