The Senior Program Administrator on our exciting large scale construction program provides senior-level operational, contractual, and financial support to the Program Director. This role ensures disciplined execution, financial accuracy, contractual compliance, and reporting integrity across the PMO, Construction, Materials, and Communications functions. The position operates as a program-level control point, maintaining structure, accountability, and administrative rigor in a fast-paced, performance-driven environment. Requirements

  • Bachelor's degree
  • A minimum of 8 years related experience
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Nice To Haves

  • Bachelor’s degree in Business, Finance, Project Management, Communications, or related field.
  • 10+ years of progressive experience supporting executive-level program, project, or operations leadership in high-performance, deadline-driven environments.
  • Demonstrated expertise in contract administration, financial controls, and multi-project coordination.
  • Experience supporting large-scale infrastructure, construction, engineering, or development programs (public or private sector).
  • Advanced proficiency in Excel, including financial modeling and tracking; strong command of Word and PowerPoint for executive reporting.
  • Proven ability to operate independently with sound judgment in complex, high-pressure environments.
  • Strong executive presence, organizational discipline, and communication skills.

Responsibilities

  • Provide senior administrative and operational leadership in support of the GEMC Program Director and cross-functional program teams.
  • Prepare, track, and maintain all Task Work Orders, supplemental agreements, and contractual documentation in full compliance with GEMC contract requirements.
  • Lead program-level financial tracking, including budget monitoring, burn rate analysis, invoice coordination, and reporting support.
  • Maintain comprehensive, real-time logs of contractual deliverables, subconsultant agreements, compliance documentation, and key program commitments.
  • Coordinate, compile, and quality-review monthly progress reports, executive briefings, and client-facing deliverables prior to submission.
  • Establish and maintain structured document control systems, version control protocols, and standardized reporting templates to ensure audit readiness.
  • Facilitate cross-functional coordination to ensure timely responses to client directives, leadership requests, and contractual obligations.
  • Identify administrative, contractual, and reporting risks; proactively implement corrective actions to prevent escalation.
  • Support continuous process improvement initiatives to enhance program efficiency, reporting accuracy, and operational consistency.
