About The Position

The Senior Payroll Specialist will provide analysis, data insights, process optimization and compliance to the processes that transmit payroll timely, efficiently and accurately. The Senior Payroll Specialist will maintain hierarchal reporting, employee data, payroll and time management. This position will be the subject matter expert to provide recommendations to the team and management on operating efficiencies, improved technology, audits and controls, legal/compliance issues and best practices.

Requirements

  • Bachelor’s Degree in Accounting, Business Administration or Human Resources required.
  • 4+ years of experience administering payroll.
  • In-depth knowledge and experience of payroll calculation and processing.
  • Full knowledge of current Federal, State and local labor laws, tax requirements and payroll regulations.
  • Ability to work in a fast-paced team environment with exceptional customer service skills.
  • Exceptional interpersonal, verbal, and written communication skills a must.
  • Advanced experience with MS Office Suite software.
  • Ability to perform in a high-volume environment and meet deadlines while maintaining exceptional attention to detail.
  • Technologically proficient including excel.

Nice To Haves

  • Strong to expert knowledge of ADP preferred.

Responsibilities

  • Payroll Processing –Review, verify and process bi-weekly payroll. Analyze data accuracy, adjustments and variable pay calculations, including monthly and quarterly incentives. Collaborate with supervisors to validate timesheets and exceptions. Reconcile quarterly and annual tax filings and coordinate with tax representatives and accounting teams to ensure accuracy and compliance.
  • System Integrity - Manage and audit payroll data within ADP and related HRIS systems. Assess system functionality, identify optimization opportunities and support configuration, upgrades and implementation projects. Maintain system security and user access controls. Conduct routine data integrity audits and ensure backups are done in a timely manner. Coordinate with the HRIS Analyst and escalate data integrity concerns to senior management as needed.
  • Reporting - Develop, analyze and distribute regular and ad hoc payroll reports for leadership, finance, and external partners. Perform data analysis to identify trends, compliance risks and opportunities for efficiency. Prepare reports related to 401(k) contributions, pension plan and other financial obligations.
  • Operating Efficiency – Evaluate current payroll operations to identify process gaps, inefficiencies or risks. Recommend and implement data-driven solutions to improve accuracy, compliance and automation. Research and apply emerging technologies, legislative updates and industry best practices to enhance payroll operations.
  • Compliance & Audit – Ensure payroll practices comply with federal, state, and local regulations. Collaborate with internal and external auditors, maintaining documentation and controls to support audit readiness. Proactively monitor changes in payroll legislation and implement necessary system or process updates. Ensure payroll compliance with state and federal regulations
  • Employee Inquiries – provide superior customer service to employees by addressing questions and concerns regarding payroll, employment, and general HR inquiries. Elevate to supervisor as needed.
  • Benefits Leave – Support Compensation and Benefits Analyst by providing accurate payroll accounting for on-going employee leaves.
