With over 100 locations, Sono Bello is the largest and fastest-growing cosmetic surgery practice in the nation. The Payroll Manager provides leadership and hands-on execution of customer-focused, efficient delivery of payroll services, payroll tax administration, and ensures the timely, accurate, and compliant delivery of payroll processing. They assure that all legally required taxes/contributions and other deductions are withheld from paychecks in addition to managing the preparation and filing of required reports and/or payments to government agencies, insurance carriers, health savings and flexible benefit providers, and other vendor organizations. The Payroll Manager manages the implementation and operational workflow of administrative procedures as related to Pay, Tax, and Time, and partners with other functions to evaluate compensation policies and practices to ensure they are accurate and comply with internal policies and practices and multi-state and federal law. The position also manages the functional aspects of supporting systems and solutions, including setting up accurate taxes and other withholdings at the state, county, and city levels for new locations. The incumbent must proactively troubleshoot and develop solutions to further efforts toward continuous process improvements and internal controls in order to optimize operational excellence.

Requirements

  • Bachelor’s Degree specializing in HR, Business, or related field, OR equivalent work experience in human resources/payroll within a business environment.
  • 10+ years of experience in working in payroll and/or accounting functions, including multi-state payroll.
  • 5+ years of payroll and payroll auditing experience.
  • 2+ years of payroll management experience.
  • 2+ years of people management experience, managing and prioritizing day-to-day work, and coaching and developing payroll skills.
  • Self-starter with the ability to adapt to changing business needs.
  • Exceptional communication skills and ability to influence.
  • Ability to work effectively across all levels and layers of the organization.
  • Ability to use discretion in dealing with highly confidential and sensitive information.
  • Ability to meet strict deadlines and work under pressure.
  • Excellent interpersonal skills, positive attitude, flexibility, and a willingness to learn new things.
  • Expert user skills with time and payroll systems, preferably with UltiPro or Kronos.

  • Strong understanding of Payroll systems, including database design, structure, processes, and data integrity concepts.
  • Expertise in federal and state payroll, wage, and hour regulations.
  • Experience with payroll/financial reporting.
  • Comfortable working with last-minute requests of significance, including the pressure of multiple deadlines.
  • Demonstrated ability to roll up sleeves and work with team members in a hands-on management capacity.
  • Proven ability to contribute in a high-paced, rapidly changing work environment consistently and positively.

Nice To Haves

  • CPP certification is preferred.
  • Multi-entity payroll experience is preferred.
  • Hands-on experience with UKG and ADP preferred, while use of other top payroll platforms will be considered.

Responsibilities

  • Provide proactive leadership, direction, and execution to ensure timely and accurate processing of payroll in accordance with federal, state, and location regulations and company policy.
  • Manage, maintain, and review all payroll processing activities, including salary increases/decreases, tax documentation and filings, including quarterly and annual federal, state, and local tax filings, unemployment, workers' compensation insurance, benefits, and other actions affecting payment of personnel and payroll history of team members.
  • Act as a subject matter expert for all payroll matters, providing expertise on complex issues.
  • Participate in the execution of payroll to include payroll pre- and post-processing, taxation, withholding, deductions, certified payroll, and Federal, State and Local laws and regulations, and troubleshoot issues and implement corrective actions that eliminate the root cause of issues.
  • Establish and maintain team member time and pay records; ensure that team member changes are entered correctly and on a timely basis; review changes for proper authorization.
  • Oversee the tax filings in accordance with local and federal law. Work with carrier connections to monitor tax updates and ensure all tax tables are up to date and all team member tax records are accurate and paid in a timely manner.
  • Participate in the maintenance and development of all critical payroll controls and procedures, including developing and enforcing standards, to ensure the accuracy and timeliness of payroll processing, including manual and automated input to the payroll system as well as output from the payroll system to other systems.
  • Identifies and implements scalable solutions that improve services, business controls, and the team member experience.
  • Oversee compliance with statutory reporting and filing requirements.
  • Support all internal and external audits and regulatory requests related to time and payroll.
  • Oversees that all benefits and garnishments are accurately processed and reconciled each month.
  • Ensure compliance with all local, state, and federal laws regarding finances, payroll, wage and hour, tax filings, best practices, and reporting.
  • Verify new hires are entered correctly and assign the necessary taxes, leave plans, direct deposit, supervisors, etc.
  • Evaluate the payroll systems’ internal control and procedures and recommend changes as needed to ensure the safeguarding of assets; identify and initiate appropriate accounting procedures to prevent or correct errors or irregularities.
  • Lead and mentor a payroll specialist - coach, teach, guide, motivate, and inspire the team, set goals, assign projects, and ensure deadlines are met.
  • Coordinate workflow and procedures between Payroll and Human Resources.
  • Create and generate weekly, monthly, quarterly, and yearly reports.
  • Update policies and procedures in accordance with payroll guidelines.
  • Review and process leave plan accruals monthly, and prepare fiscal year accrual entries and allocation of benefit reports.
  • Prepare semi-monthly and monthly journal entries and financial statements for all payroll-related ACH payments.
  • Work with state and federal agencies as appropriate, to include Unemployment and Departments of Labor/Workers Compensation as necessary.
  • Develop partnerships throughout the organization.
