Requirements

  • Demonstrated ability to guide, mentor, and support team members to strengthen performance and foster growth
  • Strong communication and interpersonal skills to effectively communicate with staff, providers, volunteers, and leadership to ensure clear coordination of clinic administrative operations and resolution of administrative issues
  • Demonstrated organizational skills and the ability to oversee multiple administrative workflows while identifying opportunities to improve efficiency and patient experience
  • Minimum of 3-5 years of administrative experience within Americares Free Clinics
  • Bilingual (English / Spanish and/or Portuguese)
  • Adaptability in fast‑paced environments, with a proactive approach to taking initiative and driving tasks to completion.
  • Demonstrated commitment to professionalism and accountability, consistently upholding AFC and organizational policies and procedures and delivering reliable results.

  • Strong understanding of clinic roles and workflows, with the ability to assess processes and identify opportunities to - enhance operational efficiency.
  • Associates degree in a healthcare related field

Responsibilities

  • Work in conjunction with the CD and ACD (if applicable) on daily administrative functions as delegated.
  • Develop, implement and maintain administrative workflows to ensure operational efficiency and standardization
  • Continually assess and improve patient facing processes to enhance the patient experience.
  • Direct supervision of the Patient Care Coordinator(s) and Referral Coordinator (if applicable)
  • Oversee the patient admission and scheduling process and if needed directly participate in:
  • Conducting initial and annual screening process to obtain proof of income and residency to determine eligibility for clinic services.
  • Registering patients into Athena once eligibility is determined and update information as needed
  • Conducting intake and outflow activities during clinic sessions.
  • Scheduling patient appointments both on and off the clinic site.
  • Providing patient records to the referral source and advise the patient of the details of the follow-up visit.
  • Maintaining follow-up log to track patient referrals, obtain reports, and requested medical records.
  • Responding to patient/telephone inquiries regarding clinic hours and services.
  • Lead onboarding of new administrative employees and participate in determining competencies for yearly education of direct reports.
  • Track all administrative inventory and ordering of supplies as designated by Clinic Director.
  • Maintain proficiency of the clinic and hospital partner EMR’s and ensure training of all direct reports.
  • Generate and analyze operational reports including tickler reports, referral reports, no-show reports and recertification tracking
  • Provide channel of communication for Spanish and/or Portuguese speaking patients.
  • Provide medical interpretation if approved to do so.
  • Acknowledge that AFC maintains a policy and procedure manual at all locations and agree to follow the policies and procedures set forth within the manual and hold direct reports accountable for following policies.

  • Support recruitment of staff, volunteers and patients in collaboration with the CD and ACD.
