About The Position

This position reports directly to the Program Administrator and is the legal assistant to the attorney Allied Section Manager within the Prosecution Services Unit (PSU). This position spends the majority of the time engaged in supervisory responsibilities. This includes communicating with, motivating, training, and evaluating employees in addition to planning and directing employees' work. The incumbent has the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action. The incumbent will also be required to develop performance expectations, meet with staff regularly to discuss performance, complete performance reviews, maintain vacation and work schedules, ensuring proper coverage, and complete timesheets. The employee must demonstrate exceptional communication, interpersonal, and comprehension skills. The employee must use discretion and independent judgment using policies and operating practices of the Department and the Unit and is responsible for assuring compliance with federal and state laws.

Requirements

  • Knowledge, skills and abilities, including utilization of equipment, required for the position: Sound writing and organizational skills; knowledge of correct spelling, punctuation, and grammar usage; and sound reading comprehension. Computer skills and MS Office computer literacy are required. Ability to plan, manage, and organize work priorities, multitask, and ensure proper completion of work assignments in a timely manner, and manage time. Ability to learn to use a case tracking system and applications required to perform daily work functions. Knowledge of the techniques for handling complaints and dealing with the public. Ability to compile, organize and analyze data and create reports. Ability to work independently with minimal or no supervision. Ability to maintain confidentiality. Ability to communicate effectively and establish and maintain effective working relationships with others.
  • 1+ years of supervisory experience.
  • 2 years administrative experience to include Microsoft Office, Adobe, data entry, and document preparation.

Responsibilities

  • Directly supervises legal support staff, i.e., monitors process and workflow to ensure daily coverage of personnel to provide support for attorneys and the caseload demands; to meet critical deadlines and work objectives ensuring maximum use of time and resources; motivates employees to improve quality and quantity of work performed and evaluates them through established criteria.
  • Trains and supervises legal support staff in the methods and procedures used by the PSU with regards to case tracking, preparation of Probable Cause Panel and preparation of Board Meeting cases; instructs employees in office policies and procedures, and methods and procedures used to perform specific jobs; and communicates with staff on a regular basis providing guidance as needed.
  • Trains and supervises legal support staff in the methods and procedures used by PSU in the management of complex litigation cases, including, but not limited to, setting up of litigation pleading files; preparing trial notebooks; scheduling of court reporters, witnesses, and locations for all depositions and formal hearings for the litigation attorneys; scheduling and coordinating witness conferences, lectures, and pre-trial meetings for litigation attorneys; producing calendar of current cases, which include important dates and information for each case, and following up with attorneys to assure deadlines are met.
  • Requests, reviews, and maintains case tracking reports. Trains legal support staff in understanding and updating LEIDS. Compiles and prepares reports on case information, as needed. Prepares legal documents such as motions, notices, discovery requests and responses, and trial exhibits as directed by the attorney section manager. Assists attorney section manager with researching statutes and rules to support initiating legal action in litigation cases.
  • Assists the Program Administrator in developing and writing primary processes, as well as creating process maps for primary processes.
  • Directs or responds to telephone inquiries received within the section from the general public, complainants, subjects and or subjects counsel concerning disciplinary cases.
  • Performs other duties as assigned.
