About The Position

Omada is seeking a Senior Manager, Health Information Management (HIM), to launch and scale a new function for a healthcare provider whose services are provided primarily through asynchronous telehealth and some synchronous telehealth. About Omada: Omada is a well-established virtual health care provider that is a covered entity and a health care provider under the Health Information Portability and Accountability Act. In 2025, Omada has served 1.4 million individuals since its founding in 2011. Omada cares for individuals from Alaska to Puerto Rico. The Senior Manager will bring their experience, training, and AHIMA credentials to Omada to help Omada scale, automate, and innovate, including potentially using AI, in managing the health records requests Omada receives from its members, their attorneys, and other parties. This position is within the Member Services organization. Omada has two custom built (non-certified) EHRs, and participates in nationwide health information exchange as a provider. Omada’s workforce is 100% remote. The Role: This role will be responsible for strategic direction, leadership and overall management of HIM functions. As Omada’s GLP-1 business grows, we expect the number of medical records requests for life or disability insurance; requests from plaintiffs' attorneys for their clients records; subpoenas from various defense attorneys; HEDIS requests from health plans; Health Plan audits of various types; and requests from members themselves to grow and we need an HIM manager to build our HIM process to scale with growth. Initially this role will be an individual contributor who fulfills all medical records requests within a 2-day service level agreement (SLA). This role will document the current medical records process, create standard work, measure process performance, and continuously improve.

Requirements

  • 10+ years of related HIM experience with a Bachelor’s degree (8+ with Master’s, 5+ with PhD)
  • Bachelors degree in Allied Health, Health Information Management, or related field of study
  • AHIMA Registered Health Information Technician
  • You are a deep expert in HIM operations, policies, and HIPAA information disclosure regulations.
  • You can coordinate multiple projects, use time management skills and independent judgement.
  • You are experienced in a fully digital environment where printing may not be a capability you or people helping you with records requests, have.
  • Must be available during business hours in your local time zone and for occasional after-hours needs which may include evening, weekend, or holiday availability
  • Onsite travel may be required approximately once per quarter

Nice To Haves

  • Experience managing a team of HIM professionals
  • AHIMA Registered Health Information Administrator
  • Track record of experience operating in a fully digital environment, for example one that does not ever produce printed copies of records unless the requestor requests them.
  • Specific experience in an HIM function in a telethealth/digital health provider or a company providing HIM services to a virtual health care provider.

Responsibilities

  • Define and lead HIM strategy by building scalable processes to fulfill records requests and authoring standard operating procedures (SOPs) to fulfill records requests, including accounting of disclosure management tracking. (Accounting for disclosures is an existing HIPAA obligation of Omada.)
  • Define, develop, and maintain standard medical record report outputs responsive to various record & audit request scenarios with the goal being for standard types of cardiometabolic requests, the reported information is as easily generatable as the musculoskeletal medical record today.
  • Process medical records of patients by assembling, analyzing, and checking for compliance with established policy on nomenclature and procedures; files charts and assists in the revision of files.
  • Define, manage, achieve and improve key performance indicators (KPIs) of the role/department including response and resolution times.
  • Work with Omada’s Information Governance Manager within the Compliance team to ensure compliance with internal Omada record retention policies and mandated HIM requirements.
  • Work with the Chief Privacy Officer and/or Compliance Director and other cross functional partners where expertise is needed to fulfill requests.
  • Serve as the “Custodian of the Records” who is an individual who certifies in a declaration or affidavit for the company that they can explain how the records are kept and testify about record keeping if called upon to do so. This is an ordinary part of being a qualified health information manager.
  • Ensures compliance with relevant HIM requirements subject under current and future regulatory and accreditation organizations. CMS is definitely in scope, as is NCQA.
  • Contributes expertise on HIM standards, including federally-supported standard for API based Individual Access Requests under TEFCA, to Omada’s business planning.
