We are seeking an experienced Senior Lease Administrator to oversee a diverse commercial real estate portfolio in our Los Angeles office. This role combines comprehensive lease administration oversight with a strong operational focus on CAM and operating expense recoveries. The ideal candidate brings deep knowledge of lease language, advanced analytical capabilities, and hands-on experience managing complex reconciliations, controllable caps, gross-ups, base year, and NNN (triple net) expense structures. This position partners closely with Property Management, Accounting, Portfolio Management, and Legal to ensure accurate billing, compliance, and revenue optimization.

Requirements

  • 3-5+ years of commercial lease administration experience
  • Strong understanding of lease terminology and operating expense recoveries
  • Experience with Microsoft Excel using pivot tables and lookups
  • Experience with Yardi or comparable lease management systems
  • Strong analytical, organizational, and problem-solving skills
  • Ability to manage multiple priorities in a fast-paced environment

Nice To Haves

  • Bachelor’s degree in Business, Real Estate, Finance, or related field preferred
  • Experience within institutional, REIT, or large multi-tenant portfolios
  • Background supporting office, retail, or mixed-use assets

Responsibilities

  • Lead preparation and review of annual CAM reconciliations and operating expense true-ups
  • Analyze lease provisions governing base years, expense stops, gross-ups, exclusions, and controllable caps (including cumulative and compounding caps)
  • Oversee accurate monthly billing of base rent, additional rent, and recoverable expenses
  • Review and resolve tenant disputes related to operating expenses
  • Prepare detailed audit support documentation and respond to tenant audit inquiries
  • Abstract and interpret complex lease agreements, amendments, and related documents
  • Maintain accurate lease data within lease administration systems (Yardi or similar platforms)
  • Monitor critical lease dates including pending Lease Commencements, Tenant Move In-Outs and Relocations
  • Ensure compliance with lease provisions and internal policies
  • Partner with Accounting on revenue recognition and reporting
  • Assist Operations and Portfolio Management with budgeting, forecasting, and recovery projections
  • Identify process improvements to increase efficiency and accuracy
  • Support implementation or optimization of lease administration systems
