About The Position

Offit Kurman, a growing Am Law 200 full-service law firm, is seeking a highly experienced Senior Intake Specialist to support our firm-wide client engagement and risk management operations. The position requires availability to work West Coast hours and a minimum of five (5) + years of advanced experience with Aderant and Intapp within a law firm environment. This role is fully remote; however, candidates must reside in one of the following states: CA, CO, CT, DC, DE, FL, GA, IL, KS, KY, LA, MD, MI, NH, NJ, NY, NC, OH, PA, SC, TN, TX, UT, VA, WV. The Senior Intake Specialist plays a critical role in managing the firm’s client intake, matter approval, and conflict resolution processes. This individual ensures compliance with firm policies while maintaining the highest level of accuracy, discretion, and efficiency.

Requirements

  • 5+ years of hands-on experience with Aderant (or similar program) and Intapp in a law firm setting (required).
  • Strong understanding of law firm intake processes and conflict-of-interest interpretation.
  • Exceptional analytical skills with high attention to detail.
  • Ability to manage competing priorities and meet tight deadlines.
  • Excellent communication and interpersonal skills.
  • Strong critical thinking and problem-solving capabilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).

Nice To Haves

  • Experience working in a mid-sized to large law firm environment strongly preferred.

Responsibilities

  • Review and evaluate electronic client and matter submissions through Intapp, ensuring data accuracy, completeness, and policy compliance.
  • Perform detailed conflict-of-interest searches and analyze results to identify and escalate potential conflicts.
  • Conduct research related to client and matter submissions using Westlaw and internal systems.
  • Update and maintain client and matter data in Aderant Expert with precision and consistency.
  • Track engagement letters, monitor countersignatures, and ensure proper storage within the firm’s document management system.
  • Generate and distribute departmental and risk-related reports.
  • Collaborate closely with Legal Administrative Assistants, attorneys, and firm leadership to facilitate timely matter openings.
  • Identify workflow inefficiencies and recommend process improvements.
  • Perform additional responsibilities as assigned to support firm operations.
