About The Position

The Senior HR Administrative Assistant plays a critical role in ensuring the efficient operation of the Human Resources department by providing high-level administrative support to the Vice Presidents of HR and assisting the Executive Assistant to the Chief People Officer (CPO) as needed. This highly organized, professional, and proactive individual possesses strong communication skills and a solution-driven mindset, thriving in a fast-paced environment while demonstrating a deep commitment to the Credit Union’s mission, goals, and core values of service, integrity, reliability, inclusion, service, and excellence. The Senior HR Admin will maintain a realistic balance among multiple priorities, anticipating the needs of the HR Leadership Team. They will work independently on projects from conception to completion and must be able to manage a wide variety of activities and confidential matters with discretion, even under pressure.

Requirements

  • Associate’s degree in fields such as: Business Administration, Human Resources, Office Management or Organizational Leadership preferred.
  • Minimum 7 years of administrative experience, preferably supporting senior leaders in HR or a related field.
  • Excellent verbal and written communication skills to convey information clearly and professionally.
  • Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
  • High degree of initiative and ability to anticipate needs and act proactively.
  • Strong interpersonal skills and a collaborative spirit; able to build relationships across teams.
  • Maintains strict confidentiality and demonstrates integrity in all professional matters.
  • Creative problem-solver with a continuous improvement mindset.
  • Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with SharePoint or similar platforms a plus.
  • Dependable and consistent, meeting deadlines and commitments reliably.
  • Internet savvy, skilled in using online resources for conference travel coordination and other research tasks.
  • Capable of multitasking with high efficiency, balancing various tasks simultaneously.
  • Initiative-taking and adaptable, able to work independently while collaborating effectively with team members.
  • Effective follow-through, completing tasks thoroughly and with attention to detail.
  • Responsive, timely in addressing inquiries and providing necessary support.
  • Effective oral and written communication skills are required to proof-read, review, summarize.
  • Must possess sufficient manual dexterity to skillfully operate an on-line computer terminal and other standard office equipment, such as personal computers, cell, or telephones.
  • Prolonged sitting throughout the workday with occasional mobility required.
  • Corrected vision within the normal range.
  • Hearing within normal range. A device to enhance hearing will be provided if needed.
  • Occasional movements throughout the department daily to interact with staff.
  • Ability to accomplish tasks, Etc.
  • Minimal travel by car or public transportation to attend meetings.

Responsibilities

  • Provide day-to-day administrative support to the HR leadership team, including calendar management, meeting coordination, travel arrangements, and expense reporting.
  • Support invoice processing, budget tracking, and purchasing requests for the HR department.
  • Assist the Executive Assistant to the CPO on key administrative functions and high-priority initiatives.
  • Draft and format presentations, documents, and reports using Microsoft PowerPoint and Word.
  • Maintain tracking systems in Excel and support data entry, organization, and reporting needs.
  • Coordinate and assist with planning internal HR events, engagement activities, and off-site meetings.
  • Serve as a liaison between HR leaders and internal/external partners, handling inquiries and requests with professionalism and discretion.
  • Help ensure alignment of communications, deliverables, and operations with the organization’s strategic people goals.
  • Manage sensitive and confidential information with discretion and sound judgment.
  • Identify opportunities to streamline administrative processes and recommend improvements.
  • Support ad hoc projects, cross-functional coordination, and process documentation as needed.
  • Review various reports, narratives, or communications for accuracy, making recommendations to ensure proper grammar and formatting.
  • Demonstrate proactive self-initiative by identifying and addressing administrative needs before they arise.
  • Ensure Vice Presidents stay on task with deadlines through effective tracking and timely reminders.
  • Provide support to the Executive Assistant to the CPO as needed, assisting with high-priority initiatives and administrative functions.
