About The Position

The senior GME Institutional Program Manager. maintains and adheres to all ACGME Institutional Requirement and advises on changes to the GME residency and fellowship programs, based on anticipated needs, new or changing program and institution requirements, and implement changes. This position will also have a focus toward financial, business, and strategic planning regarding maintenance of current accredited and non-accredited training programs and future training programs.

Requirements

  • Bachelor’s degree.
  • Education may be substituted with 8 years directly related experience and/or equivalent combination of certification, training education and experience.
  • Must also meet additional years of experience noted in the experience section.
  • Four (4) years previous experience in healthcare or education environment required.

Responsibilities

  • Provides leadership and oversight for the institutional academic program development, data analysis and strategic planning for program(s) to develop and implement long term goals and objectives that align with the program(s)’s and institution’s mission and vision.
  • Assists GME Designated Institutional Official and GME Institutional Director to perform advance, diversified and confidential administrative duties.
  • Demonstrates comprehensive and detailed understanding of national accreditation policies.
  • Actively participates with the director during the accreditation review or site visit as well as the continued accreditation process
  • Designs, develops and maintains data systems and ensures updates as Graduate Medical Education requirements change
  • Attends annual budget meetings
  • Attends the Graduate Medical Education Committee and Resident Liaison meetings as well as Academic Program Managers Committee and participates and serves as member of the GME Diversity Committee.
  • Serves as liaison between the GME Institutional Office, Residency and Fellowship programs and hospital administrative offices
  • Provides leadership and direction to GME Institutional Coordinator, residents, fellows, medical/pa students and administrative staff within Graduate Medical Education.
  • Collects data and creates reports for internal and external reports a such as GME Institutional Annual Report, AHCA and Medicare Cost Report for all in house residents/fellows, PA’s, students and visiting residents/fellows and IRIS reporting for hospital reimbursement.
  • Creates and submits reports for Department of Health for State Licensure (TRN) on a bi-annual basis.
  • Collaborates with Institutional Director regarding GME Policies & Procedures required by accreditation standards for GME training programs and completes revisions as needed revisions for all Residency and Fellowship programs and revises GME Residency Manual annually
  • Collaborates with HR, HRIS, Benefits and Educator/Epic team for new Resident/Fellow onboarding
  • Oversees, plans and coordinates all aspects of human resource functions for all Residents/Fellows to include onboarding, contract dissemination, orientation, advancing and offboarding at end of training.
  • Oversees all residents/fellows training licenses to ensure they remain valid.
  • Oversees residents/fellows who are promoted to next level, transferring to fellowship or faculty position and provide to Compensation Department for salary adjustment.
  • Oversees Visiting Resident/Fellow, Medical Student & Physician Assistant Clerkship rotation process.
  • Reviews Program Letter of Agreement’s (PLA’s) for Residency and Fellowship programs. • Demonstrates problem-solving and decision-making abilities. Actively participates in competency-based program development and ensures formal curriculum requirements are met.
  • Demonstrates professional behavior by exhibiting sound work habits, having thorough knowledge of hospital policies and procedures, and employing proper communication between multiple programs and departments.
  • Operates with independent judgment on behalf of the GME Institutional Director during their absence.
  • Participates in Local, State, and National Conferences to expand knowledge and participates in accreditation planning sessions, trends and explore networking opportunities.
  • Manages various human resources functions including work assignments, coaching plans, performance counseling for GME Institutional Program Coordinator.
  • High degree of initiative and independent judgment.
  • Executes program activities with a high degree of independence (e.g., educational events, training, recruitment, orientation, graduation)
  • Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards.
  • Must possess strong communication skills, both written and verbal, as well as the ability to multitask and work collaboratively.
  • Must be self-directed, independently functioning and detail oriented.
  • Able to work comfortably in large and small teams as a facilitator and leader to said teams and multiple levels of accountability.
  • Trains and manages assigned Institutional coordinator(s) and/or support staff
  • Serves as liaison with affiliated medical schools for medical student and PA student rotations.
  • Adheres to accreditation and Graduate Medical Education requirements for maintaining trainee records.
  • Coordinates GME wellness activities
  • Promotes teamwork and provides a sense of leadership by participating in various integral committees within the Department, Graduate Medical Education and the System.
  • Exhibits the highest moral integrity, in adherence with the institutions core mission, when handling confidential information.
  • Serves as Training Program Liaison (TPL) with ECFMG for J1 Visas applicants that are training in a residency/fellowship program.
  • Maintains knowledge of current immigration policies, verifies Educational Commission for Foreign Medical Graduates (ECFMG) documentation and ensures that visa requirements are met.
