Responsibilities

  • Serve as the primary interface with IFF Sales and the customer, providing daily and ongoing communication, including occasional in‑person meetings.
  • Fulfill customer requests for pricing, oils, documentation, samples, and other key information.
  • Schedule, organize, and prepare client meetings, ensuring submission materials and supporting documents are ready; document recap notes and action items.
  • Manage daily shipping coordination, including preparing and printing sample labels and shipping documentation as the on‑site point person.
  • Mitigate logistical issues during the submission process and regulatory initiatives by following up with internal partners.
  • Lead coordination of NOAM customer projects across perfumery, labs, marketing, production, customer service, and scent design.
  • Manage IFF systems and project‑specific information, including base details and submissions.
  • Track and organize stability testing for products with accurate monitoring and reporting.
  • Determine and respond to customer needs and requests throughout the project lifecycle.
  • Act as the lead client contact for the global Personal Care Sales Service team.
  • Coordinate with global sales service partners to ensure adherence to client data processes and policies.
  • Drive globalization of customer templates (e.g., Certificate of Analysis, preshipment templates).
  • Manage updates for NOAM formulas in SAP, including Master Data, Listing, Pricing, Category, and Brand.
  • Maintain monthly Account Project Status reports.
  • Support reporting of win/loss metrics and other key KPIs.
  • Create and distribute global Personal Care category collection kits.
  • Execute Category/Client‑specific regulatory programs.
  • Maintain and optimize a portfolio of 250+ scents for regulatory, toxicology, and supply considerations
  • Successfully manage formula modification workflows across multidisciplinary teams.
  • Oversee progress from sampling to regional distribution and global submission.
  • Serve as a strong liaison between customers and internal IFF teams, ensuring clarity and accuracy throughout all regulatory and project processes.
