The Impact you will have in this role : The Internal Audit Department (IAD) is seeking a highly organized, proactive Executive Assistant (EA) to provide high-touch administrative and operational support to four Managing Directors: one (1) General Auditor (GA) in charge of IAD, and three (3) Deputy General Auditors (DGA) that report to the GA. The ideal candidate excels at managing multiple priorities, communicating professionally and anticipating the needs of senior leaders in a highly confidential environment. This position plays a critical role in ensuring seamless support behind the scenes in a dynamic audit environment. Professional level administrative and operational support to four Managing Directors: one (1) General Auditor (GA) in charge of IAD, and three (3) Deputy General Auditors (DGA) that report to the GA. NOTE: The Primary Responsibilities of this role are not limited to the details above.

Requirements

  • Work experience required
  • Minimum 5 years of executive assistant experience, specifically multi‑leader support. interacting with senior leadership in financial services or other highly regulated environments.
  • Strong proficiency in Microsoft Office Suite, CoPilot, Teams, SharePoint, and related productivity tools including exceptional communication, writing, and interpersonal skills.
  • Proven ability to manage multiple priorities with accuracy, professionalism, and discretion.
  • Demonstrated ability to anticipate needs and operate proactively in a professional environment.
  • Strong organizational skills to manage competing agendas and priorities.

Responsibilities

  • Executive Support & Calendar Coordination: Compliance with Internal Audit standards, particularly regarding regulated or sensitive information (e.g., regulatory examinations).
  • Proactively manage complex, multi‑executive calendars with strong attention to accuracy, prioritization, and conflict resolution.
  • Ensure executives are prepared for all engagements through timely briefings and organized documentation.
  • Coordinate high‑visibility meetings with EC members, senior stakeholders, and internally — proactively handle agendas, materials, logistics, and follow‑up actions as needed.
  • Establish and maintain professional working relationships with other Executive Assistants in DTCC.
  • Coordination on tasks and projects with IAD Chief of Staff.
  • Operational & Departmental Support: Process timely expense reports, manage travel arrangements and carry out other administrative responsibilities.
  • Assist with editing Internal Audit organizational charts, seating plans, and SharePoint folders.
  • Main strong working relationships with various support functions, including technology, facility, and HR to facilitate seamless periodic and ad hoc requests including onboarding of new team members, logistics, conference space, AV support, and building services requests.
  • Contact for questions, ensure completion, and communicate resolution.
  • Communication: Ensure smooth and efficient communication within IAD, either self-directed or at the request of the MDs, including communication between executives, teams, and across IAD.
  • Primary contact on behalf of all the Managing Directors as needed, including registering, welcoming and accompanying visitors at the DTCC JC office.
  • Edit confidential correspondence or presentations and ensure accuracy.
