Find your fit — and your future. We are currently seeking a Senior Executive Assistant (EA) to join our Human Resources team! As a Senior Executive Assistant, you'll report into and work closely with our Chief Human Resources Officer (CHRO) and other senior leaders on administrative duties, project management, and facilitating communication both internally and externally. Our perfect candidate is proactive, organized, and thrives in a fast-paced workplace. The Senior Executive Assistant will manage a wide range of advanced administrative and executive support-related tasks, and will make independent decisions regarding planning, organizing, and scheduling work. This role requires the ability to interact with senior leaders (at all levels) while remaining helpful, proactive, and efficient.

Requirements

  • Minimum of 5 years of high level, complex executive administration work experience supporting a senior-level executives.
  • Experience in Human Resources or interest in HR.
  • Experience planning and prepping for leadership meetings.
  • Experience with extensive international and domestic travel arrangements.
  • Positive and representative of Levi's values.
  • Experience in supporting C-Suite Leaders.
  • Must have a high degree of integrity when dealing with confidential and sensitive information.
  • Can work with different personality types and leadership styles.
  • Experience with calendaring and other digital technology and collaboration tools.
  • Google Slides or PowerPoint experience to refine and integrate existing presentations.
  • This is a hybrid position based in our San Francisco, CA headquarters. You will be expected in office 3 days per week typically Tuesday-Thursday. Note, time in office can vary depending on business needs.

Responsibilities

  • Provide Executive Assistance for the CHRO, including extensive internal and external calendaring, point-to-point business travel, expenses, and special projects.
  • Contribute to the excellent reputation of the company through professional, kind, and respectful interactions with all internal and external stakeholders.
  • Liaise with senior-level leaders and team members across LS&Co. and cultivate cross-functional relationships between departments and improve communication across teams.
  • Prepare and plan agendas for Global HR Leadership meetings.
  • Attend select leadership HR meetings and stay informed - take notes, identify follow-ups and send reminders.
  • Manage demanding Outlook calendaring requests, while also keeping executives accessible.
  • Handle and maintain highly confidential and sensitive information.
  • Serve as the brand extension for leader you support, escalating and communicating on their behalf and serving as a team liaison.
  • Coordinate events, including internal team events, conferences, team off-sites, business and operational reviews, and other team meetings, including arranging meeting rooms and catering requests.
  • Initiate purchase orders, reconcile invoices, and complete/track expense reports.
  • Coordinate complex travel and expense reporting using Concur.
  • Maintain impeccable standards of confidentiality and information security.
  • Communicate with internal teams to take action on projects from the CHRO.
  • Ability to be on-call as needed, beyond standard business hours.
