About The Position

Under the direct supervision of the Chief Executive Officer (CEO), this role provides high-level administrative and operational support to the CEO. The position assists the CEO in the day-to-day operations, coordinates and schedules meetings, assists with all communications, completes tasks as assigned. The position requires performing a wide range of administrative duties and interacting professionally with staff at all levels, both within and outside the organization. A high degree of discretion, attention to detail, and a strong understanding of the executive office within a healthcare setting is essential. The ideal candidate demonstrates the ability to act as the “bridge” between the CEO and staff, clients, community, and tribal partners. This role requires excellent verbal and written communication, sound judgment, strategic and long-term planning, and the ability to work both independently and collaboratively.

Requirements

  • High School diploma or equivalent and four (4) years as an executive assistant, project coordinator, office manager, or similar experience.
  • Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
  • Proficient Computer skills in use of Microsoft Word, Excel, SharePoint, and PowerPoint.
  • All individuals must demonstrate a commitment to the provision of culturally sensitive services to American Indians.

Nice To Haves

  • Level II - High School diploma or equivalent and six (6) years of experience as an executive assistant, project coordinator, office manager, or similar experience or Associate degree (AA) in related field and four (4) years administrative assistant experience or Bachelors Degree (BA/BS) in related field and two (2) years of experience.
  • Level III - High School diploma or equivalent and eight (8) years as an executive assistant, project coordinator, office manager, or similar experience or Associate degree (AA) in related field and six (6) years administrative assistant experience or Bachelors Degree (BA/BS) in related field and four (4) years of experience or Master’s Degree in a related field and (2) years of experience.

Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel for the CEO.
  • Manage day-to-day operations for the CEO such as: reading emails and written communication, drafting correspondence, meeting and greeting visitors, checking voice messages, screening access to the CEO, etc.
  • Draft, edit, proofread, and distribute documents, reports, presentations, and meeting materials.
  • Maintain files and filing systems (electronic and paper) for the CEO.
  • Maintain accurate records, databases, and tracking systems for the CEO.
  • Compile statistical data and write narrative reports summarizing findings.
  • Prepare conference rooms, Zoom/Teams online connections, and materials for Executive Leadership Team Meetings (ELT), ELT+ Meetings, and Supervisors, Managers, Directors (SMD) Meetings.
  • Record, transcribe, and distribute minutes for the ELT, ELT+, and SMD Meetings.
  • Train other EAs.
  • Assist the Executive Assistants with Board of Directors meetings, committee meetings, and events when needed.
  • Maintain strict confidentiality of sensitive information, including personnel, client, board of directors, and any other matters.
  • Attend department meetings and other assigned meetings.
  • Adhere to the Code of Conduct, compliance, accreditation standards and guidelines.
  • Maintain a professional demeanor and collaborative mindset.
  • Must be willing to learn about the American Indian culture and attend at least one cultural presentation/training per year.
  • Must be willing to work with American Indian/Alaska Native people and demonstrate cultural awareness and humility.
  • Must be willing to deliver services in a culturally responsive manner.
  • Maintain a professional, organized, and clean working environment by following organizational policies, guidelines, and safety standards.
  • Perform all duties in accordance with the UIHS Vision, Purpose, and Guiding Principles.
  • Other duties may be assigned.
  • Lead and coordinate 1-2 special projects annually.
  • Ability to navigate within reporting systems used by the Executive Office.
  • Assist with policy (POLs) and standard operating procedures (SOPs) updates for the Executive Office.
  • Writes summary reports for the CEO.
  • Research and compiles information for the CEO.
  • Research healthcare topics for the Executive Office.
  • Lead and coordinate three (3) or more special projects annually.
  • Update POLs and SOPs for approval by the CEO.
  • Problem solve and develop action plans for approval by the CEO.
  • Assist with budget management.
