Position Summary Airbus U.S. Space & Defense, Inc., (AUS) is led by professional executives who operate in a highly competitive and demanding business environment. To ensure the ability of these top executives to focus their full attention on meeting customer, regulatory and stakeholder demands while providing effective leadership, AUS also employs highly skilled and experienced Executive Affairs Managers who manage schedules, correspondence and other logistical concerns for them. Executive Affairs Managers work very closely with their assigned executives and over time develop the ability to anticipate needs, independently resolve issues and occasionally speak on behalf of the executive in certain circumstances, thus extending the executive's capacity and reach. The position requires discretion and a high level of confidentiality as it involves access to sensitive company information.

Requirements

  • Relevant Education : Bachelor's degree
  • Relevant Experience : 5+ years executive support experience, 3+ years general office administration.

  • Security Clearance
  • Ability to obtain and maintain a government-issued security clearance

  • Travel may be required up to 20% of the time
  • Physical Capability
  • Vision: able to see and read computer screen and other electronic equipment with screens, able to read documents.
  • Hearing: able to hear to participate in conversations in person and via teleconference or phone and to hear sounds including safety warnings or alarms.
  • Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment.
  • Carrying: able to carry documents, electronic equipment and/or supplies up to 25lbs.
  • Lifting: able to lift documents, electronic equipment and/or supplies up to 25lbs.
  • Sitting: able to sit for long periods of time in meetings, working on computer.
  • Squatting / Kneeling: able to occasionally squat or kneel to retrieve or replace items shelved on bottom shelves.
  • Standing: able to stand for long periods of time.

Nice To Haves

  • Experience in government contracting and high-security business is preferred.

Responsibilities

  • Performs administrative duties on behalf of assigned executive under minimal supervision.
  • Monitors department P&L and advises assigned executive of unusual or out-of-policy expenses; notes and tracks approved exceptions to budget for staffing, materials, software, travel, etc.
  • Monitors required training for staff members and ensures complete compliance with all Information Security and Trade Compliance policies and procedures for assigned executive's staff.
  • Assists with development of special correspondence, presentations, speeches, etc., as directed.
  • Assists with scheduling, travel plans and expense reporting of other department employees as directed.
  • Manages schedule and calendar of the assigned executive.
  • Reviews and prioritizes incoming correspondence, distributes in the office as necessary, and coordinates appropriate follow-up action.
  • Schedules appointments, meetings, conferences, and travel agendas for assigned executive.
  • Plans, coordinates and protects assigned executive's schedule; pro-actively resolves conflicts.
  • Keeps assigned executive informed about, prepared for and available for upcoming commitments and responsibilities.
  • Arranges for meeting rooms, catering, and equipment set-up as directed.
  • May assist with expense reporting for assigned executive.
  • Organizes and maintains correspondence, records and other documents; follows up on pending matters.
  • Manages department materials and supplies, places special orders as needed, and otherwise facilitates smooth operation of department.
  • Other duties as assigned.
