Position Summary The Senior Executive Assistant provides high‑level administrative and operational support to the CEO of GMPD, the SVP of Strategy, and the CFO, GMPD. This role manages complex calendars, coordinates domestic and international travel, prepares and edits executive-level communications and presentations, and serves as a key liaison across the organization. The successful candidate will demonstrate strong judgment, discretion, communication skills, and the ability to anticipate needs while managing multiple priorities in a fast-paced environment. This role frequently represents executives internally and externally and manages sensitive and confidential information with integrity. This position will sit in our Global headquarters located in Dublin, Ohio.

Requirements

  • 6+ years of professional experience supporting senior executives in large national or global organizations preferred.
  • Associate degree preferred, or equivalent combination of education and experience.
  • Demonstrated ability to handle confidential information with discretion and sound judgment.
  • Highly detail‑oriented with strong organizational and prioritization skills.
  • Self-directed; ability and willingness to problem-solve and apply creative solutions (example: calendar conflicts)
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel); ability to learn new technologies quickly.
  • Strong written and verbal communication skills; professionalism in interactions at all levels of the organization.
  • Proven ability to work independently, anticipate needs, and operate effectively in a fast‑paced, evolving environment.

Responsibilities

  • Executive Support & Coordination Manage complex calendars for the CEO of GMPD, SVP of Strategy, and CFO, GMPD including scheduling, prioritizing meeting requests, and resolving conflicts.
  • Coordinate and prepare executives for key meetings, including briefings, agendas, speaking notes, and follow‑up materials.
  • Serve as a primary point of contact for internal and external stakeholders, ensuring timely and appropriate communication.
  • Travel & Expense Management Arrange and manage domestic and international travel for all supported executives, ensuring alignment with preferences, policy, and business needs.
  • Prepare, reconcile, and track expense reports for supported leaders and their direct reports when needed.
  • Maintain understanding of travel, expense, and corporate policies; share updates proactively with leaders.
  • Communication & Document Preparation Draft, edit, proofread, and design executive‑level presentations, communications, and documents using PowerPoint, Excel, and Word.
  • Manage communication channels including inbox monitoring, shadow mailboxes, and follow‑up tasks.
  • Prepare materials for staff meetings, town halls, leadership sessions, and cross-functional forums.
  • Operational & Project Support Organize and support group meetings, workshops, offsites, and team‑building sessions, collaborating with Meetings & Events and Live Events teams as needed.
  • Maintain and update departmental organizational charts and distribution lists.
  • Support select projects or strategic initiatives as assigned by the leaders.
  • Cross‑Functional Collaboration Build strong partnerships with Executive Assistants across the enterprise to ensure seamless coordination of leadership priorities.
  • Work with Talent Acquisition to schedule interviews, calibrations, and hiring-related meetings.
  • Follow up on behalf of supported leaders to ensure closure of outstanding items or deliverables.
  • General Administrative Responsibilities Manage office supplies, mail, external deliveries, and other administrative needs for supported teams.
  • Screen calls and inquiries, escalating or addressing independently when appropriate.
  • Continuously improve administrative processes, tools, and routines to increase efficiency.
