About The Position

The Greater San Diego Association of REALTORS® (SDAR) is seeking a seasoned, senior-level Executive Administrative Assistant to serve as a strategic partner to the CEO. This role goes far beyond traditional administrative support and functions as an extension of the CEO—anticipating needs, synthesizing information, driving follow-through on strategic priorities, and ensuring organizational alignment at the executive and Board levels. As the Senior Executive Administrative Assistant, you will support the CEO while also coordinating executive-level logistics and travel for the Board of Directors and Officers attending C.A.R. and N.A.R. meetings and conferences. The ideal candidate brings executive presence, sound judgment, and the confidence to operate autonomously in a complex, fast-paced association environment. This position is designed as a trusted advisor and operational strategist, enabling the CEO to focus on vision, leadership, and external relationships. The Senior Executive Administrative Assistant ensures clarity, cadence, and accountability across executive priorities, Board directives, and cross-departmental initiatives.

Requirements

  • Minimum of 7 years of experience supporting a CEO, C-suite executive, or Board-level leader
  • Demonstrated experience operating in a strategic, senior-level executive support role
  • Exceptional organizational, analytical, and prioritization skills
  • Advanced written and verbal communication skills, including executive-level synthesis
  • Proven ability to handle highly confidential matters with discretion and professionalism
  • High proficiency in Microsoft Office Suite (Word and Excel), Google Workspace, and executive reporting or project management tools
  • Strong executive presence with the ability to interact confidently with Board members, elected leaders, sponsors, and external partners

  • Experience with nonprofit, association governance, or real estate industry strongly preferred

Responsibilities

  • Serve as a strategic thought partner to the CEO, proactively identifying risks, opportunities, and priorities
  • Translate high-level goals into actionable workflows, timelines, and accountability structures
  • Act as an extension of the CEO in internal coordination, ensuring alignment across departments
  • Exercise independent judgment in managing issues, escalating only those requiring CEO input
  • Deliver a comprehensive daily executive briefing including priority meetings, time-sensitive decisions or approval, emerging issues
  • Manage the CEO’s calendar strategically, balancing governance, association operations, and REALTOR® leadership obligations
  • Prepare high-level briefing materials, agendas, and executive summaries
  • Handles Travel and Transportation for CAR and NAR directors.
  • Serve as gatekeeper to the CEO, protecting time, focus, and confidentiality
  • Track follow-up items and ensure execution across leadership and staff
  • Produce a Weekly CEO Dashboard summarizing key departmental updates (finance, membership, government affairs, education, events), progress toward Board-approved goals and strategic initiatives, upcoming deadlines and critical milestones
  • Coordinate closely with Board Officers and leadership to maintain consistent, aligned communication
  • Prepare the CEO for Board, committee, and partner engagements with strategic context and talking points
  • Monitor and summarize developments from C.A.R., N.A.R., and the broader real estate and association landscape
  • Maintain historical data and document executive board meetings.
  • Develop a Monthly Executive Overview including high-level KPI and performance indicators, status of strategic initiatives and Board directives, CEO speaking engagements, conferences, and major events, key relationship and stakeholder updates
  • Maintain and manage a rolling 90-day and annual executive calendar
  • Support drafting of executive-level communications to the Board, members, and external partners
  • Support effective governance by coordinating executive-level Board communications and logistics
  • Assist in preparation of Board materials, executive reports, and strategic presentations
  • Ensure follow-through on Board actions and governance requirements
