We are searching for the best talent for a Senior Executive Administrative Assistant (EA) to the Chief Operations Officer, North America Innovative Medicine. This hybrid position is in Titusville, NJ. This position requires four (4) days onsite and one (1) day remote. Learn more at https://www.jnj.com/innovative-medicine As the Senior Executive Administrative Assistant, we are looking for someone who is passionate, energetic, and agile, that acts professionally while demonstrating a clear communication style. The foundation of this role will be supporting the Chief Operations Officer, who is a member of the North America Leadership Team and will handle day-to-day items with little or no direction. The selected candidate will anticipate the needs of the leader, help them stay focused, resolve issues before they arise, and go the extra mile as needed. A successful person in this position will also partner with the Company Group Chairman's assistant, as well as other administrative staff supporting North America Leadership Team executives. This person must have solid organizational skills, be able to work successfully in a busy and complex environment, manage various duties with appropriate prioritization, an ability to problem solve, and learn new skills and technology effectively.

Requirements

  • A minimum of a High School diploma or equivalent
  • A minimum of 8 years of experience supporting high level executives
  • Excellent time management skills including the ability to multitask and effectively prioritize work
  • Technology savvy: Expertise with MS Office Suite (including Word, Excel, PowerPoint, SharePoint), Concur, Summit, Teams, Zoom, and other J&J systems
  • Strong verbal and written communication skills, interpersonal skills, and attention to detail
  • Flexibility to adjust to changing business environments to ensure an organized experience to internal and external clients
  • Proven ability to influence and collaborate within a team
  • Proven ability to build and support strong, positive relationships with internal and external business partners
  • Self-motivated and must possess the ability to work independently with minimal supervision
  • Display business and emotional intelligence, sound judgment and discretion
  • Demonstrate accountability for role responsibilities and actions

Responsibilities

  • Provide comprehensive administrative support to the Chief Operations Officer, including complex calendar management and schedule coordination.
  • Be the face of the Chief Operations Officer's office at all times
  • Assist in the preparation of presentation materials and agendas for team meetings and more
  • Set up and manage virtual meetings
  • Facilitate Workday tasks as needed
  • Prepares and maintains documents of a highly confidential and sensitive nature
  • Manage special projects as needed
  • Coordinate domestic and international travel arrangements
  • Submit and reconcile expense reports in Concur
  • Plan and schedule office-related events as needed
  • Coordinate conference room scheduling and catering for larger meetings as needed
  • Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff
  • Maintain headcount and organization chart updates
  • Collaborate with the team admins and assist with off-site meetings
  • eMarketplace purchasing as needed
