About The Position

The Senior Deposit Operations Specialist serves as a senior team member within the Deposit Operations department, responsible for coordinating daily activities, supporting team development, and ensuring operational excellence across all deposit product areas. This role provides day-to-day support as needed, oversight, guidance, and strategic input to help streamline processes, maintain compliance, and foster collaboration across the team. The Administrator acts as a liaison between Deposit Operations and other departments, supporting initiatives and driving continuous improvement.

Requirements

  • High School Diploma or equivalent required; Associate’s or Bachelor’s Degree in a business-related field preferred.
  • Demonstrated experience performing foundational deposit operations tasks such as account maintenance, exception item processing, report validation, and compliance activities (as outlined in Deposit Operations Specialist I).
  • Proven ability to manage complex operations including Social Security deceased depositor notifications, zero balance account agreements, account analysis requests, and processing legal orders and documents (as outlined in Deposit Operations Specialist II).
  • Five years (5) of banking or relevant operational experience required.
  • Strong attention to detail and willingness to learn.
  • Advanced problem-solving, and communication skills.
  • Proficiency in Microsoft Office and core banking systems.
  • Ability to lead and motivate a team in a fast-paced environment.
  • Demonstrates a commitment to accuracy and quality while meeting goals and deadlines

  • Ability to maintain a positive attitude when working through challenges

  • Specialized certifications (e.g., IRA/HSA) are a plus.

Responsibilities

  • Obtain and provide performance metrics and ensure timely, accurate completion of operational tasks.
  • Provide guidance and support on complex issues related to deposit products (Escrow, IRA/HSA, Abandoned Property).
  • Assist in developing, maintaining and distributing departmental procedures and documentation.
  • Support regulatory compliance efforts and internal audits.
  • Lead or participate in cross-functional projects and system enhancements.
  • Serve as a point of contact for escalations and interdepartmental communication.
  • Mentor and train team members, fostering professional development and knowledge sharing.
  • Collaborate with leadership to identify process improvements and implement best practices.
  • Perform daily operational tasks as necessary for items outlined in Deposit Operations Specialist I & II.
  • Ensure and enforce accuracy and compliance with internal procedures and regulatory guidelines.
  • Assist in the coordination of daily workflow and task assignments across Deposit Operations Specialists.
  • Oversee operational aspects of deposit escrow and IOLA/IOLTA programs: onboarding (including PowerOn batch onboarding as needed), monthly reporting quality, customer mailings, and timely interest remittances to state boards.
  • Ensure and support IOLA/IOLTA account management, ensuring proper titling, interest processing, and state reporting.
  • Support operational and customer service functions related questions pertaining to fundamental deposit operations products, IRA and HSA, Deposit escrow and abandoned property.
  • Support management of abandoned assets; ensuring procedures are followed.
  • Maintain data integrity and accuracy for customer accounts and manage quality assurance of submitted correspondence and documentation.
  • Ensure compliance with state and federal regulations and laws such as conducting proactive and regulatory outreach to customers.
  • Collaborate with legal, audit, and external agencies to resolve inquiries and maintain data integrity.
  • Act as an escalation point for inquiries that surface for the Specialists.
  • Help escalate and resolve basic issues related to deposit products.
  • Assist with training sessions and documentation updates under supervision.
  • Participate in system testing and updates in collaboration with IT and senior staff.
