About The Position

Reporting to the Department Head of American Art (painting and sculpture of the United States roughly 1780–1945) and European Painting and Sculpture (Medieval–1900, and Western Antiquities), the Curatorial Administrator will support the Department Head, Curator(s), Associate Curator(s),and Assistant Curator(s) across two departments with all aspects of curatorial work, including acquisitions, exhibitions, publications, collections management, and donor cultivation.

Requirements

  • Bachelor’s degree in Art History or other relevant field (e.g. Fine Art, Film, History, Critical Theory, etc.).
  • Minimum 3 years of administrative experience in a museum or gallery setting is preferred.
  • Demonstrated ability to organize, prioritize and handle multiple tasks to meet established deadlines and problem solve, with excellent follow up.
  • Ability to manage budgets.
  • Exercise sound judgment and decision making and have a demonstrated ability to handle confidential or sensitive information.
  • Demonstrated written and oral communication skills.
  • Analytical, detail-oriented, flexible and efficient, with negotiation and public relations skills.
  • Ability to work well both independently and as part of a team.
  • Excellent knowledge of Microsoft and Google suites.

Nice To Haves

  • Previous experience with The Museum System (TMS) preferred.

Responsibilities

  • Coordinates logistics of acquisitions, including liaising with donors and LACMA’s registrar, creating TMS entries and completing all registrarial forms required
  • Uploads checklist into TMS and maintains checklist in TMS
  • Produces loan request letters and loan agreement forms
  • Confirms display details with the lender (framing, etc.)
  • Creates necessary work orders for movement of collection (photography, conservation, display, storage viewings, etc.)
  • Maintains collection files (paper and electronic)
  • Coordinates small-scale gallery changes due to outgoing loans
  • Collaborates with colleagues in Development to facilitate donor events, as well as maintaining internal departmental lists of supporters and contacts
  • Maintains departmental budgets on a timely basis working closely with the department head on acquisitions, special projects, and education events. Works with the department head on annual budget submissions.
  • Performs other administrative and office management tasks as assigned by Curator, including ordering office supplies, filing, responding to queries from public and visiting scholars, and scheduling
