About The Position

The SCP Coordinator implements the daily operations for the federally funded grant programs administered by the Fort Hays State University Foster Grandparent and Senior Companion Programs. This position is primarily responsible for the daily oversite and management of AmeriCorps Seniors volunteers (age 55 and older) serving as Senior Companions and their service assignments. Senior Companion volunteers serve within a 13-county service area and provide companionship and support to isolated older adults and/or respite to family caregivers. Regular travel within the service area is required. The position provides services at community locations and in the homes of program clients. The Coordinator will abide by established program policies as well as the AmeriCorps Seniors policy guidelines and Fort Hays State University’s established policies and procedures under the direction of the FGP/SCP Director.

Requirements

  • This position requires a Bachelor's Degree
  • Interaction between groups of people, such as older adults, community leaders, and University faculty, staff, and volunteers.
  • Excellent office management skills and proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Excellent written and verbal communication, attention to detail and organizational skills
  • Strong time management skills and personal accountability to complete tasks in a timely manner.

Nice To Haves

  • One year experience supervising volunteers and/or working with senior participants.

Responsibilities

  • Manage program volunteers: recruit, hire, supervise, and train volunteers; review applications; provide orientation programs; make placements; and conduct training. Requires regular travel within the 13-county service area.
  • Maintain volunteer files according to program policy.
  • Manage time and leave entry for volunteers.
  • Reimburse volunteers for travel, using processes established by the program and FHSU Business Office to assure payments for volunteers are processed.
  • Process requests for program services.
  • Create volunteer assignment plans, assure volunteers and clients receive feedback and ongoing support.
  • Market programs through social media campaigns, speaking to interested groups and organizations regarding program services and volunteer opportunities and seeking additional marketing opportunities using a variety of mediums.
  • Engage with community organizations and other national service programs to enhance SCP program.
  • Develop and deploy successful communication plans to recruit prospective volunteers and service sites.
  • Provide monthly in-service training for all sites in the service area including: scheduling speakers, creating agenda, developing training materials, reserving sites and meals as needed.
  • Arrange for formal and regular recognition of volunteers, organizations and individuals who have contributed to the support of SCP.
  • Survey volunteer placement established to assess the effectiveness of placements, ensure the delivery of services and confirm program grant requirements are being met.
  • Assist in planning Advisory Council meetings.
  • Provide program data to contribute and enrich council decision making.
  • Manage internal procedures to ensure the delivery of services with appropriate support and materials.
  • Perform all major clerical tasks in order to maintain efficient office management and deliver programing.
  • Track and maintain essential data in regard to federal grant funding required by the Program Director. This will require mass mailings to clients.
  • Attend trainings, conferences, and other employee development opportunities as authorized by the Program Director.
  • Other duties as assigned by the Program Director.
