About The Position

The Office of the Attorney General (OAG) is seeking reliable, professional, and compassionate individuals for its Citizen Services team. The OAG represents the State of Florida in state and federal civil and criminal courts, from trial courts to the U.S. Supreme Court, and provides legal protections against consumer fraud. Staff at the OAG have opportunities to serve the community in areas such as criminal appeals, civil litigation, consumer protection, Medicaid fraud, and victims and civil rights. The Office of Citizen Services is dedicated to protecting Floridians from fraud, serving as the agency's primary point-of-contact for complaints and inquiries. It provides public information on the Attorney General's duties, responsibilities, and initiatives, offers reliable information on consumer scams and emerging issues, and assists consumers in resolving complaints through referrals and informal mediation. During declared states of emergency, the office also operates the OAG’s Price-Gouging Hotline. This multifaceted position supports the Attorney General's Office of Citizen Services, acting as the intake unit for calls and correspondence addressed to the Attorney General or the agency.

Requirements

  • Two (2) years of secretarial or clerical experience; or A High School diploma or its equivalent and one year of secretarial or clerical experience.
  • Ability to follow instructions.
  • Skill in use of personal computers.
  • Knowledge of correct grammar usage.
  • Knowledge of basic arithmetic.
  • Ability to sort data alphabetically, numerically, and categorically.
  • Ability to communicate effectively orally and in writing.
  • Ability to perform basic arithmetical calculations.
  • Applicants must meet a passing score of 75% on a skills assessment.

Nice To Haves

  • Minimum one-year administrative work experience (preference will be given).
  • Excellent verbal and written communication skills.
  • Skill using a computer, word processing and data entry software.
  • Typing minimum 35 words per minute (WPM).

Responsibilities

  • Operating agency's switchboard and determining the appropriate department to send calls for assistance.
  • Check agency's voicemail box and transcribing messages into appropriate database for call back by hotline staff.
  • Data entry.
  • Summarizing correspondence.
  • Scanning correspondence for public record retention.
  • Mail out correspondence.
  • Coordinate electronic agency transfers to other agencies and organizations.
  • Receives and route telephone calls, take messages as needed.
  • Maintains files and records, pulls, and files documents.
  • Accurately completes data entry.
  • Pre-audits fiscal documents for completeness, accuracy, and procedural correctness.
  • Corrects and updates computer data records.
  • Scans fiscal documents for public records.
  • Receives, sorts, and delivers all incoming mail to designated departments or individuals.
  • Operates photocopying machines, typewriters, calculators, mail room machinery, computer terminals.
  • Prepares copies of records.
  • Receives and processes mail.
  • Processes requests for mailing forms to consumers.
  • Maintains inventories.
  • Performs incidental typing.
  • Performs related work as required.
