Requirements

  • Knowledge of general office procedures and practices.
  • Knowledge of correct grammar usage.
  • Knowledge of basic arithmetic.
  • Ability to prepare reports and correspondence.
  • Ability to plan, organize and coordinate work activities.
  • Ability to develop and implement office procedures.
  • Ability to follow instructions.
  • Ability to review data for accuracy and completeness.
  • Ability to perform basic arithmetical calculations.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Two years of secretarial or clerical work experience.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
  • Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
  • A high school diploma or its equivalent can substitute for one year of the required work experience.

Responsibilities

  • Coordinates outside consults, including scheduling, tracking and appropriate notifications. Coordinates with Security and Operations to ensure the patient is delivered to his outside appointments.
  • Facilitates the processing of new admissions. Ensures Medical Information Sheet is included.
  • Facilitates discharging of residents. Checks to ensure court orders are correct. Ensures Nursing is informed of discharge. Ensures discharge paperwork is completed by the physician and psychiatrist.
  • Manages the resident traffic/movement to and from the Clinic for all “in clinic” appointments. Announces arrival of patients. Signs passes and receives charts as indicated.
  • Ensures that all requested medical records are returned timely from living areas to the Clinic and secured in medical record room to ensure compliance with HIPAA and Center Policy #0510 and #3510.
  • Ensures that all completed charts are returned timely to living area with Control board Operator acceptance of returned medical record in accordance with Center Policy #0510 and #3510.
  • Assists outside vendors (ex. X-ray, neurology) in managing resident flow related to their services. Types new order requests for X-rays or ultrasound into the X-ray database as needed
  • Performs other duties as assigned.
